ADMINISTRATIVE OFFICER (CONTRACT POSITION)
Wellington – Western Cape
Logistics Transport Industry
Salary: Negotiable

Our Client a leader in the Transport Industry has an opportunity for a qualified and experienced Administrative Officer to be employed on a temporary basis.

Position Overview
In this role, the successful will be responsible for all administrative matters regarding the vehicle, cargo, equipment and drivers. Responsibilities:
1. Business Administration:
• Debriefing with regard to vehicle equipment;
• Debriefing regarding vehicle as well as" Debriefing "of local drivers.
• Report irregularities that are noticed during "debriefing" – e.g. high diesel consumption, was travelling too fast, deficits on loads etc.
• Report cargo deficits.
• Regular maintenance of diesel used;
• Regular checks of expiration dates on permits and license discs;
• Acquire error reports in respect of vehicles allocated to Alrode depot as well as obtain reports from driver’s errors regarding long-distance fleet of vehicles;
• Ensure that vehicles allocated to depot accordingly apply to schedules as set out;
• Checking of tires on all vehicles currently in the depot area;
• Ensure that vehicles be washed by relevant members and accordingly;
• Ensure that sails with which loads are covered is clean and neat;
• Order clean sailing from depot, as required.

2. Administration:
• Time register maintenance of drivers, assistants and depot employees (Time genius software).
• Daily check and authorise times scheduled.
• Daily time management and reporting;
• Daily and monthly reporting;
• Overtime reporting;
• Filing of documentation.
• Receiving and handing out of mail bags
• Reporting of drivers with regard to any irregularities during "trip".
• Work out of diesel consumption of vehicles and check with the norm for each route and category.
• Report abnormalities.

3. Leave
• Daily maintenance of leave for drivers and assistants
• Experience with Paper-train software for approval
• Ensure leave calculation is correct;
• Process of leave applications after approval;
• Record keeping of leave.


4. General
• Collection and maintaining of POD’s
• Maintain fuel system;
• Calculation of mileage for salary purposes;
• Production reporting
• Check criminal records and maintaining drivers such as Date of departure (NAMIBIA)
• Ensure that the register is up to date.
• Assist with the detection of outstanding client’s documents.
• Check vehicle license discs including drivers on the vehicle detection system.
• Determine locations of high risk consignments.
• Coordinate administration concerning the status of vehicles, i.e. the vehicle depot.

Requirements:
• National Senior Certificate / Grade 12;
• Minimum of 3 years’ experience in a similar role in the Logistics/Transport sector;
• Strong level of knowledge and understanding standards;
• Excellent communication skills;
• Computer literate; and
• Valid driver’s license with own reliable vehicle.

Qualifications and knowledge required:
• Minimum Grade 12 (Diploma or Certificate – added advantage).
• 3 – 4 Years’ experience in transport environment as administrator.
