Role Purpose:
Overseeing advertising operation activities including ad campaign implementation, contract/order management, billing & reconciliation, and sales/client support. Description of role requirement:
Overseeing advertising operation activities including ad campaign implementation, contract/order management, billing & reconciliation, and sales/client support.

Oversee daily advertising operations activities:
? Manage the traffic requirements with the Ad Ops Execs and ensure all production staff have work scheduled each day.
? Optimize and assist with campaigns to insure full revenue recognition
? Ensure all advertising specifications are current and up to date
? Become a digital ad product expert, capable of responding to questions from all levels of the organization with accuracy
? Work closely with various departments to troubleshoot and resolve all internal and external issues associated with advertisements
? Build functioning relationships with 3rd party rich media vendors, and various ad servers, to set-up, manage and report on advertising campaigns
? Testing new product offerings and find workable solutions. Implement and communicate once tested
? Stay up to date on industry trends and best practices
? Address and resolve client issues. Share communication with AE in order to keep them in the loop.
? Continuously improve systems, technology and procedures
? Constantly assess project risks and contingency plans
? Ensure the Ad Ops team meet weekly with the individual Account Executives to discuss performance management
? Have weekly Operations meetings with individual Publishers to discuss developments/challenges etc.

Billing:
? Assist with billing/reconciling invoices for clients as well as publishers using various systems: TBS/AppNexus/DFP
? Implement effective billing procedures and do monthly billing checks and recons
? Assist Internal Finance with MSN recon when required
? Define ad-server and trafficking offerings and implement accordingly
? Assist with any billing queries from Publishers/Advertisers

Reporting:
? Assist with any ad hoc requests
? Monthly Revenue reports
? Monthly Inventory performance reports
? Monthly site performance reports
? Analysis and reporting of forecasting future traffic requirements to senior management

Ad-server/System maintenance and management:
• Ensure all stock updates are managed and implemented timeously in various systems – request/create as necessary in various ad-servers/billing system
• Do weekly checks to ensure all campaigns are running smoothly
• Escalate/assist with any ad-server issues
• Request any ad-server developments
• Clean up and maintenance of changes made within Ad-server
Be involved in any new system developments to ensure it meets expected objectives. Schedule testing accordingly before implementation
Manage and train Ad Ops team. Implement & manage procedures and workflows for effective campaign management

Assist with day to day training requirements
? Communicate any changes
? Procedure to be put in place for any new development
? Ensure that entire team is up to speed on how to execute
? Train new Ad Ops Executives on current processes and procedures
? Train new employees on TBS, AppNexus Console, DFP and any systems needed to fulfil job function
? Adhoc training to other departments as required
? Schedule continuous training and development programme in department
? Have weekly catch-up meetings with the team to address/discuss any changes/challenges & update them on any new developments

Staff management:
? Deal with any issues within the team dynamic.
? Conduct scorecard appraisals with individuals in the department on a quarterly basis.
? Do Annual Performance Appraisals
? Consolidate department’s documentation (e.g. expense claims, etc.) sign off and submit
? Implement KPI’s for team and manage on a monthly basis to ensure Objectives are met
? Manage recruitment requirements for Department - liaise with Internal Human Resources on positions available, conduct interviews, and assist HR to finalise an offer

Management and maintenance of Ad Ops specific information portals namely H:Drive and Notice Boards:
? Update procedure documents on H:drive
? Update System manuals
? Ensure the team receives the latest updated copy and is trained on the content

Problem solving – namely resolution of day to day staff issues and queries from agencies/clients:
• Assist team with any queries from Agencies/Clients with regards to daily operations
• Liaise with Managers/Publishers to supply recommendation or solution
Inventory Management

Assist in daily inventory management and reporting:
? Send weekly / monthly inventory utilisation reports to Ad Ops, Sales and S&P
Implement inventory management systems that allows for better understanding of utilization and revenue potential:
? Inventory management on all platforms and publishers on a weekly basis.
? Have weekly discussions with Editors of different sites to manage inventory
? Do monthly performance/intelligence reports on the key Publisher sites for Kagiso Digital/Publishers & Commercial Managers

Inventory discrepancies:
? Escalate any inventory discrepancies
Procedures:
? Implement and manage inventory procedures for all Publishers/sites
Technology Implementation
Retagging and migration of sites – full migration plan, implementation and testing to ensure smooth migration:
? Have meetings with Publishers to discuss Site requirements, Tagging Blueprint requirements, campaign migrations & determine roles & responsibilities
? Create Site Blueprints
? Create ad unit tags in Ad-server, edit HTML to suit client requirements
Once site’s retagged – do a Quality Assurance check & provide Publisher with key findings around technical correctness & possible improvements that can be made to ensure best practices are utilised
? Manage all re-bookings of campaigns & creative implementation for migration
? Create & Implement procedures for all new sites with Ad Ops/Sales team & Finance
? Test any new developments upfront before implementation stages

Qualifications:
Tertiary education in sales/marketing preferred
Valid driver’s license and motor vehicle preferable

Knowledge & Skills:
? Multitasking while being flexible at the same time – must be able to work on multiple projects while managing a team and own workload
? Extremely detail orientated and well organized with the ability to cope under pressure
? Ability to relate well to people at all levels and maintain objectivity at all times

Field of experience :
? 3 years experience in Digital Advertising Operations
? 2+ Management experience of managing a team of 5 or more staff
? 2 – 3 years trafficking/campaign management experience
? Working knowledge of online advertising technologies required (HTML, CSS, Flash and JavaScript)
? Comprehensive experience with ad serving platforms AppNexus Console, DFA, DFP preferable. (Experience and understanding of other comparable ad serving platforms may suffice – e.g. Real Media, Atlas, OpenX Experience)
? Mid-level experience with Marketing Intelligence tools: Nielsen’s Market Intelligence, Omniture, Effective Measure; Google Analytics, Ad Exchanges and any other relevant online tools
? 3rd party Rich Media Vendors : Sizmek/Rubicon/Google
? Troubleshooting systems: Firebug, Fiddler, Charles
? Strong administration background
