Matric & Hotel School Qualification or National Qualification is required. Thorough knowledge of F&B systems including Micos & Pastel. Responsible for ordering, receiving of goods, issuing, storage & inventory controls.Stock Control Assistant – Job Description The Position The SCA will be a full-time member of Finance Department, based at Rustenburg. They will be responsible for maintaining the purchase ledger in an accurate and timely manner, as well as general stock control duties which will include liaising with suppliers, raising purchase orders and dealing with internal stock enquiries. Responsible to The SCA will report directly to the Finance Manager, and will assist both the FM and the Finance and Accounts Supervisor. Specific Responsibilities 1. Finance ? Update the purchase ledger using a bespoke accounting system ? Handling supplier invoices on a daily basis, ensuring matching to purchase orders, goods-in notes and delivery notes ? Monitor and review outstanding invoices with prompt resolution of queries; chase credit notes from suppliers where necessary ? Obtain authorisation from the appropriate people for all purchase invoices; post all invoices on the purchase ledger ? Ensure all paperwork (invoices, credits, goods-in notes, any other items) is filed accurately and timely ? Process the company credit card each month, liaising with the Sales and Senior Management to ensure all receipts are received and expenses are allocated to the right cost centres ? Reconciliation of supplier statements ? Reconciliation of the purchase ledger to the general ledger on a monthly basis ? Other ad hoc tasks 2. Stock Control ?Raising purchase orders where necessary ? Maintaining a database to ensure that all information is accurate and up-to-date; liaising with the Customer Services department to deal with queries arising from old or out-of-date stock records ? Updating cost prices regularly to ensure stock valuation is precise ? Checking invoices against goods-in notes and raising any discrepancies with suppliers; chasing credit notes where necessary ? Dealing with any internal stock queries quickly and efficiently ? Any other miscellaneous tasks pertaining to stock3. Miscellaneous ? Covering for the Finance and Stock Control Supervisor in their absence – this may include processing payments from customers, month end rollover, banking duties, other miscellaneous sales ledger tasks ? Daily post opening and distribution to various departments ? Generally ensuring a tidy and organised office – this includes archiving, filing and sorting as necessary ? Adhere to company policy as per the staff handbook ? Answering incoming calls to the Finance Department in the absence of the FM and the FSCS ? Covering the main telephone lines for the Customer Services Department in the event of a departmental meeting ? Assist the Finance and Operations Manager and the Finance and Stock Control Supervisor with any other duties as required
