One of our IT clients is looking for a dynamic individual to take up the role of Board Support and become a part of their team!

Introduction
• Working closely with senior management / executive staff to provide management support; dealing with all tasks as delegated by the MD
• Be able to plan effectively, follow up on issues and provide feedback on complex matters when applicable
• Organization skills are essential as well as being able to optimise processes, follow procedures and close communication loops
• The MD often relies heavily on their management support, trusting that work will be handled efficiently in their absence. Discretion and confidentiality are therefore essential attributes for a successful candidate
• The office processes vast volumes of information. Good communication and prioritization skills are also essential along with strong action orientation. Handles large amounts of info Must be processed and directed in the correct format and the correct distribution channel without involvement of MD
• After hour availability is a requirement as well as travel when necessary. Locally and internationally when required

Description of responsibilities:
• Prepare documentation, briefing documents presentations, research and other functions like analysis
• Carrying out specific and special projects and research required for projects
• Responsible for management of accounts and budgets
• Taking on the manager's responsibilities as assigned and working closely with Management; Exco and Senior Management
• Being involved in decision-making processes, realignment of processes to increase efficiency and effectiveness, following proper governance
• Liaising with clients, suppliers and other staff; Exco and Senior Management.
• Follow up on issues and provide feedback to the manager, clients and staff
• Deputising for the manager, making decisions and delegating work to others in the manager's absence
• When required, travel with the MD to take notes or dictation at meetings or to provide general assistance during presentations
• Manage meetings and liaising with staff when needed
• Reporting responsibilities:
• Gather, collate, facilitate and analyse information for reporting purposes for TSI Board, Exco, Senior Management and MD
• Meeting responsibilities:
• EXCO meetings – Align with Exco members and external participants, collation of presentations, general arrangements and coordination
• Senior Management meetings - Align with Exco members and internal, collation of meeting content, general arrangements and coordination
• Board meetings – Coordinate and collate information when required as well as general arrangements and coordination
• MD Meetings – Atttend meetings collate content and/or briefing documents and document key actions
• Bi-Annual MD Roadshows – Arrangements, coordination and logistics of Roadshows. Colate and update content and liaise with Exco and Senior Management
• International Company Visits – Prepare schedules and agendas, alignment wit Exco and other relevant parties, facilitate and distribute content
• MD Branding responsibilities:
• MD Branding – Compile briefing documents for key meetings, information and updates on key customers, stakeholders and key competitors as well as information and updates on ICT Industry and new trends
• Internal MD Branding – Provide the MD with up-to-date information on key holidays, key performers, important events and birthdays
• EXCO and Senior Management Strategic Session - Align with Exco members, internal and external participants, collation of meeting content, general arrangements and coordination
• Ensure accuracy of information and compile key presentations of high quality
• Provide assistance on special projects and key events like projects, company-wide programmes, restructuring, diversity roll-outs, stretch targets, and M&A and ESD initiatives as required
• Screening telephone calls, enquiries and requests, and handling them when appropriate when required
• Dealing with incoming email, and corresponding on behalf of the manager when required

Qualifications and Experience
• Advanced MS Office skills (Word, Excel, PowerPoint, Outlook)
• 3 year tertiary qualification (Business degree preferable)
• Hons Degree will be an advantage
• 2-3 years practical project administration advantage
• Support within an IT services environment would be an advantage
• Proven track record in providing management support at an executive level
• Leadership track record and history of driving results
• Engagement at C Levels

Knowledge Skills Personal attributes
