Minimum Requirements:
Grade 12
Studying towards a financial qualification/CIMA
Project administration is a minor part of this position, the financial function will be the primary function and therefore this is the main experience we are seeking

The Accounts Assistant will be responsible for the day-to-day finance function
The main responsibilities will be the processing of invoices and issuing payments.
Working alongside Project Manager’s to provide financial assistance and insight into managing the projects as cost-effectively, to identify future overspends at an early stage of the project and to put in place corrective measures to steer the project back on track.

MAJOR ACTIVITIES TO ENSURE ACHIEVEMENT OF KEY RESULTS AND DELIVERABLES
DAY-TO-DAY
Review, verify and accurate creation of Purchase order requisitions across multiple projects
Matching the PO’s to supplier invoices and processing these onto the system
Uploading of bank statements on daily basis and matching invoices to payments
Investigating and resolving any issues on a timely basis
Compiling weekly payment runs and developing more efficient ways of working, importing of suppliers for payment and managing creditors
Reviewing and creating new suppliers on the system
Sort, code and match invoices
Accurately Enter and upload invoices into the system
Track expenses and process employee expenses on systems and prepare payments
Set invoices up for payment and prepare electronic payments on weekly basis
Reconcile accounts payable transactions
Prepare analysis of accounts
Monitor accounts to ensure payments are up to date
Research and resolve invoice discrepancies and issues
PROJECT MANAGEMENT
Work alongside individual project managers across all areas of the business, providing financial assistance and insights into budget management
Approving and creating PO’s that are in line with itemised budgeted lines and then matching these to actual invoices
Management of supplier’s expectation with regards to payments
Tracking forecasted hours against budgeted hours and reporting on a weekly basis
Reconciling retainer projects monthly

PROJECT TRAFFIC ADMINISTRATOR
Create Opportunities in Magnetic upon receiving all briefs
Create Project Plans and allocate budgeted hours against tasks and allocate these against team members
Monitor and report tracked hours against budgeted hours and report on the burn rate of each project
