JOB PURPOSE
• To grow and support BWACT operations and oversee the Branch activities
• Provide administrative duties to support all office and programme work
• Coordinate general branch office and financial administration
KEY PERFORMANCE AREAS
Take responsibility for the administration of the Branch
- Coordination of general monthly and quarterly office and programme reports
- Stock management and inventory of merchandise, donations in kind and office stationary
- Distribution of donations in kind in conjunction with BWACT CSI Programmes
- Database and CRM management of all branch contacts and lists
- Coordination of Branch meetings and minutes
- Coordination and support for internal and external communication in conjunction with the Chairperson
- Undertake any other duties that might reasonably be expected of the post holder
KPA – Financial Duties: ( reporting to the Treasurer)
- Day-to-day financial responsibilities
- Petty Cash management and disbursement, record of sales and revenue, issue of receipts and make necessary deposits, securing safety of revenue
- Management of office supplies, stock and inventory
- Programme support: Distribute and record certain funds to various core programmes etc. (monthly payments to service providers and collection of all funds due to BWACT)
- Preparation of financial reports for month end submission to Head Office
KPA – EXCO and Committee Support and coordination
- Coordinate Committee meetings
- Take minutes at all committee meetings
- Facilitate and support various task teams required for the Region

KPA – Programme Support: in support of: Events, Sponsors and Gifts in Kind programme management and development
- Relationship building with all programme stakeholders (Donors, Speakers, Service
- Providers, Committee Members, Members, BWASA staff etc.) in relation to Events,
- Volunteer and Gifts in Kind programme management and developmento
- Assessment of needs of BWACT and programme areas: such as CSI programme needs, o awareness and education needs in relation to Events, Programmes and Sponsor management and development
KPA – Promotion of BWACT as it relates to: Events, Sponsors and Gifts in Kind programme management and development
- Promote and market BWACT through PR, social media and various activities.
- Promote and market. BWACT through presentations and talks to interest groups, service clubs, corporates, etc.
- Coordinate and execute various event based campaigns and ad hoc / external fundraising. event initiatives and manage related budgets
- Coordinate and manage the Branch Gifts/Services in Kind Programme
- Incorporate merchandise sales with PR and event activities
- Create and maintain a data base of potential and existing stakeholders/partners
- Maintain a good verbal and written communication standard with all key role players
- Engagement with relevant stakeholders in the interest of fostering good relationships with both the beneficiary and donor community and general public.
QUALIFICATIONS AND EXPERIENCE
• Matric Certificate. Diploma in administration/events management or PR
• Minimum 3 years’ experience in office admin. Experience in Non Profit Sector an added advantage.
KNOWLEDGE,SKILLS AND COMPETENCIES
- Must be proficient in Microsoft Office Suite (Word, Excel, and Power Point)
- Possess both good oral and written communication skills
- Experience in Event / promotion/marketing; donor/sponsor/customer relationship management; database and Customer Relationship Marketing platforms.
