We are currently looking for an exceptional Debtors Clerk to join our exciting and detailed orientated team!

The debtors ‘clerk will ensure that adequate record keeping of the moneys owed to the company by ensuring all invoices, credit notes and payments are correctly allocated and matched.

Requirements:

- Credit control tertiary qualification is a benefit.
- Knowledge of the general business and accounting practices - beneficial
- Intimate knowledge and understanding of the credit control function and debtor's cycle is an absolute requirement.
- Knowledge of the SAP B1 System (beneficial)
- Must have 3-5 years specialist credit control function experience.

Responsibilities:

- On a daily basis, receive payments into the accounting system ensuring correct methods of payments are used. i.e. EFT, cheque or cash payments.
- Ensure that the processed payments have been correctly matched according to the customer remittances.
- Prepare the required credit notes and allocate the required discounts as per policy.
- Answer enquiries concerning balances on accounts from customers and internal personnel.
- Provide customer information services ensuring invoices, statements, credit notes and any other customer notifications or transactions confirmation reach the customers timeously.
- Facilitate and handle negotiations with clients that are in areas or who have exceeded their credit limits, this would include putting customers on hold, preparing account adjustments and debt repayment plans.
- Prepare reports of accounts which have outstanding (unpaid) amounts, or have queries and escalate same to relevant people, driving successful completion and resolution thereof.
- Receive, analyse and assess new credit applications received, putting forward suggestions for authorisation of credit limits or the alternative.
- Ensuring the safekeeping of all documents and the safeguarding of any and all audit trails showing the transactions and processes used to arrive at the final balances produced.
- Ensure the control procedures, credit limits and items are all within parameters as per the company policy.
- Ensure the COD accounts that are not within the parameters are immediately escalated.
- Any other reasonable request from your supervisor.
- The DSO of your allocated debtors' book to be in line with company required targets and budgets.
- Correct banking of monies received on a daily basis.
- Receive remittances from clients and allocate payments correctly on the accounting system.
- Perform procedures to ensure all transactions on the customer account are correct, properly requested and warranted.
- The timely issuing of correct, up to date statements, age analysis to customers and reports.
- Perform other functions as reasonably required by their supervisor. (ADHOC queries)
