JOB SUMMARY

The Executive Assistant reports directly to the Principal Officer (PO) and works directly with the Senior Manager: Office of the PO in providing executive support in a one-on-one working relationship.

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the PO and also serves as a liaison to the Chairperson of the Board.
The incumbent will work under the direct supervision of the Principal Officer and in conjunction with the Senior Manager in the Office of the Principal Officer to:
? Provide Executive Office Administrative Support
? Ensure communication and outreach activities
? Maintenance of the Office Management systems with the OPO
? Ensure the processing of OPO accounts, track payments and budget spend
? Manage OPO client liaison and contact initiatives

Essential
? Minimum 3 year Degree or National Diploma
? Strong work tenure with at least 5 years of experience in a supportive role at C-Level and/or for an Executive(s)
? Experience and interest in internal and external communications
? Good knowledge of database systems and processes
? Clear understanding of confidentiality

Skills
? Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
? Strong interpersonal skills with an approachable personality
? Excellent letter writing and organisational skills
? High level project management skills

Ability
? To work under pressure to agreed deadlines and adapt to change
? Attention to detail to ensure that high quality work levels within the OPO
? To work in a flexible manner including out of hours as and when required
? Excellent written English and the ability to communicate at all levels
? Ability to represent the organisation externally with key stakeholders
? Ability to work closely with and lead a small team
? Knowledge and understanding of access and equity principles and issues

Desirable
? Have an understanding of medical schemes industry
? Must be in possession of a valid driver’s license and own vehicle and be willing to travel at short notice
