Title: Executive Assistant

Location: Sandton

Salary: R15 000 – R25 000 per month – based on experience

Status: Permanent with a 3-month probation period.

• Project management skills is an absolute must;
• Demonstrate your ability to be a life-organiser and strategic business partner to senior management and company directors, anticipating their needs and ensuring everything runs smoothly and efficiently, taking more responsibility for managing executive's workflow;
• Discovering your Executive’s daily priorities without being told;
• Applying forward thinking in your strategic partnership with the executives;
• Self-leadership; an attitude for partnership success with executives;
• Manage multiple executives’ activities: prioritizing demands on your time;
• Stay one step ahead of requirements with a broad range of skills;
• Microsoft Office application skills, familiar with the Pastel Accounting software would be an advantage;
• Refined traditional secretarial skills including typing and audio transcription;
• Corporate governance knowledge and experience will be an advantage;
• Knowledge of any of the following will be an advantage - Marketing, PR, Photoshop, Copywriting, IT, Bookkeeping;
• Proven techniques to stay ahead of your executive’s shifting priorities;
• Knowing how to quickly plan a project using a timeline - using a work breakdown schedule - creating a timeline event plan;
• Effective event management;
• Strategies for managing your personal brand and career progression;
• Time-saving email management techniques - Identifying time stealers and prioritising your workload;
• Applying emotional intelligence when resolving issues with the team on management level and below;
• Formula for influencing the executive team;
• Techniques for creating more time in the diary;
• Manage multiple demands on your time;
• Negotiation skills;
• Customer relationship management;
• Effective communication skills – both written, spoken, body language;
• Effective presentation skills;
• Manage the feedback process on all company projects;
• Manage the staff performance evaluation process;
• Manage all secretarial responsibilities including drafting of minutes, handling CIPC lodgings; Manage all board meeting requirements and ensure adherence to corporate governance;
• Manage the receptionist staff.

MINIMUM QUALIFICATIONS/ EXPERIENCE REQUIRED FOR THIS POSITION:
• 3-year degree or 4-year diploma;
• Minimum 5 years of experience;
• Thrive on working under pressure, demonstrating exceptional organisation skills and possess keen attention to detail;
• Existing personal skills, combined with great practical business skills, in order to assist the executive in the execution of their responsibilities;
• Knowledge of latest software to plan schedules, taking minutes and having great insight into how an organisation runs at a senior level.
