A position has risen for a well groomed, mature and experience African Female to take up duties of an Executive office manager/Executive PA to the CEO of a leading engineering company in South Africa.

To oversee a wide range of complex, confidential, and administrative duties for the CEO, including the planning, coordinating, and directing of activities associated with the overall operation of the office of the CEO. To provide leadership, exercise discretion and independent judgment in matters of importance, and ensures the general operations of the Executive Office are functioning to maximum capacity. To provide high level support to the executive office and ensure top level service is delivered to the CEO in achieving his objectives.

KEY PERFORMANCE AREA

Client/Customer Liaison:

Advise the CEO on pertinent matters in order to meet his office objectives.
Act as the brand ambassador of the COMPANY, CEO and CEO's office.
Represent the CEO as principle contact for and liaison with internal and external stakeholders, including public officials and their staff, community leaders, and the general public.
Liaise with Board members, internal staff, external clients, legislative officials, high level executives on behalf of the CEO.

Office Co-ordination/organisation:

Participate in Executive and Leadership Team meetings through the preparation of agendas, coordinating presentations, taking meeting minutes, and general record keeping.
Act as spokesperson in providing general information to the public concerning Company and resolving routine problems and complaints.
Provide supervision and general project management oversight for special requests by the CEO to ensure project success and timely completion.
Gather and report on defined executive operational metrics.
To plan, organize and co-ordinate internal/external meetings and events like conferences, leadership summits and parties.
Organise CEO’s travel including flights, hotels, FOREX, international restaurant bookings, medical checks, visas (Domestic and International).

Office Administration:

Liaise with CEO’s departmental managers to follow up on issues/ deliverables; documentation; etc.
Pro-actively coordinate and control the CEO appointments and diary.
Ensure that clear communication and instruction is maintained between the CEO and his Executives.
Compose HIGH LEVEL correspondence on behalf of the CEO and general typing duties, minutes of meetings and keep accurate and meticulous records.
To take a lead role in achieving effective communication within the Executive team and all stakeholders.
Making decisions and taking ownership of various projects.

Ad-hoc tasks and special requests:

Execute ad-hoc tasks and special requests as required by the CEO from time to time.

JOB REQUIREMENTS

Degree in Business Administration or equivalent qualification/experience
Minimum 7-10 years’ experience as an Executive Office Manager to a member of executive management, at CEO/COO level
Experience in preparing PowerPoint presentations and board packs
Fully computer literate with an Advanced level of MS Office
Excellent typing skills (60 wpm+), with excellent accuracy
Knowledge of the organisation, products and markets will be an added advantage
