Administrative duties
Organizing and maintaining diaries and making appointments.
Screening phone calls, inquiries, and requests.
Dealing with incoming email and faxes.
Dictation, drafting letters and organizing meetings, Agenda & Minutes.
Producing documents, briefing papers, reports and Power Point presentations.
Liaising with clients, suppliers and other staff.
Handling of quotes and invoices till payment has taken place and forwarding POP.
Filing.
Control and updating storage inventory of 4 units off site.
Control of budget and purchase office groceries.
Switchboard relief when required.
Petty cash and recon.

Travel
Local and international travel bookings/itineraries, flights & accommodation.
Voyager miles, visas, renewal of passports, car hire, quotes, invoices.
Entertainment slips and recon.
Maintaining travel logbook for 2 Directors.

Events/Exhibitions
Internal & external planning, organising, design & print of brochures, folders, posters.
Graphics and print of display stands.
Editorials and photos.
Corporate gifting, Power Point Presentations.

Marketing
Design of adverts for magazines & editorial.
Research.

Website
Update and change of the website.
Update of news on website

Insurance
All correspondence between Insurance companies, staff and accounts.
Regular update of insurance and debit order schedule.
All claims, repairs and damages on Commercial and Private policies.
Quotes for new items to be added, renewals, electronic equipment and assessors.
Deletion of items to be taken off policies.
Insuring of new vehicles with dealers.
Quarterly meeting with Director.
Handling of all queries.


Co. vehicles
Monthly vehicle reports of mileage and problems.
Quotes and organizing of Trackers onto vehicles.
Designing of Inspection List for vehicle hand-over purposes.
Checking of renewal of licences for drivers and vehicles.
Checking for service dates and booking of vehicle.
Quotes regarding repairs to vehicles, new tyres, batteries etc.
Extending maintenance plans.
Organizing PDP licences.
All communication and queries regarding vehicles.
Arranging of tint on windows.

E-Toll
The organizing of etags for all the vehicl.
The transfer of etags from old to new vehicle.s
Monthly updates of a detailed transaction report.
Forwarding of invoices and statements.
Handling of queries.

Office groceries
Ordering of weekly groceries for office on line.

HOA of Chateau Margaux
Arranging of Directors and HOA meetings, Agenda and Minutes.
Correspondence with managing agent.
Forwarding of Invoices from contractors and proof of payment.
Correspondence and queries from tenants.

Private
Various items regarding the home, domestic and garden employee.
All repairs issues to the complex, contractors, quotes and payments.
Handling of petty cash pertaining to the home.
Purchasing online groceries when required.
Ordering of school books and stationery annually for domestic employee.
Arranging regular contractual work (pest control, lift servicing, dog parlour).
Arranging monthly medication delivery.
Claims for medical payments.
