Are you a self-disciplined professional with the ability to effectively prioritise and use your initiative? Our client, a Software Company based in Pretoria requires the expertise of a Executive Personal Assistant. The incumbent will provide support to the MD and other Directors by effectively managing their schedules and performing a wide variety of complex and confidential administrative tasks.

ROLES AND RESPONSIBILITIES

Work Flow Management

  • Coordinate day-to-day activities to ensure the Director’s time is available to fulfil the leadership role.

Administrative Support

  • Provide support such as compiling reports, agendas, minute taking, record keeping, research etc.

Activity Management

  • Effectively and proactively manage ongoing activities the Directors need to fulfil including diary management to ensure the Director's day flows with minimal interruptions.
  • Oversee diaries by organising, arrange and make a note of meetings with both internal and external contacts, whilst also keeping an eye on appointments that have been made and finding solutions if they are not able to go ahead and making necessary follow ups for the meetings to be rescheduled.

Travel Management

  • Management and coordination of all Directors work related and personal travel and preparing itineraries thereof.

Personal Assistance

  • Pro-actively and intuitively supporting the Directors by providing assistance with tasks of personal nature to free-up their time to focus on executive duties

MINIMUM REQUIREMENTS

  • Matric
  • Business related degree
  • 6 years experience in an Executive Assistant role/Office administration
  • Project management experience
  • Highly proficient computer skills including CRM, Word, Excel, PowerPoint and e-mail applications
  • Strong communication skills
