Executive Secretary (Temp)
MUST BE FLUENT IN GERMAN (SPEAK & WRITTEN)
6 month contract starting June 2014
Minimum requirements:
• Have Matric, with a Secretarial / Business Administration Diploma
• Have a high level of written and verbal proficiency in English and German
• Have at least six years secretarial experience at a Senior manager / Executive level.
• Have advanced computer literacy (i.e. MS Word, Excel, PowerPoint and Microsoft Outlook) and electronic report preparation/ presentation skills
• Be experienced in data analysis and preparation
• Display good organizing and planning skills, with strong attention to detail
• Be diplomatic, professional, and have excellent communication skills across all levels.
• Have the ability to perform under pressure
• Have the ability to take initiative, and assume accountability for own actions
• Be flexible to work overtime when required
• Have an excellent attendance record
• Be able to maintain confidentiality and integrity
Duties:
• Maintenance of confidentiality in all matters relating to the Managing Director, the Board, Executives, and Company in general.
• Preparation of professional, accurate, high quality electronic presentations and documentation.
• Handling of incoming and outgoing communication, and re-routing to appropriate individuals/ departments as necessary
• Screening of calls, acting as an intermediary, and taking messages that can be dealt with at an appropriate time by the Managing Director.
• Interpreting and implementing the Managing Director’s instructions as required
• Providing an extremely high level of professional administration services to the Managing Director’s office, including accurate record keeping, typing, leave reports, travel and expense claims, etc
• Coordinate the Managing Director’s travel arrangements, ensuring that seamless arrangements for transport, accommodation, security and itineraries are made.
• Co-coordinating the Managing Director’s diary.
• Screening all visitors.
• Arranging and co-coordinating relevant meetings within the company and externally.
