JOB OBJECTIVE:

DELIVER WORLD-CLASS EXPORT SALES ADMIN AND CUSTOMER SUPPORT SERVICES TO SUPPORT DIVISIONAL GROWTH OBJECTIVES
To facilitate the processing and document control for all export orders, to ensure service excellence. To assist all customers with any queries and ensuring the smooth running of the export orders.
Establish and maintain relationships and working processes with internal and external stakeholders to ensure coordination of sales, promotional and business development objectives.
Provide agreed on periodic reporting on key metrics of export sales logistics performance.
Create, manage and measure the interface between customer demand planning and internal stakeholders to ensure forecast accuracy and supply efficiency.
Design and implement quality Export SOP's, processes and admin systems to serve distributors and support Ascendis International strategy objectives
Design, implement and monitor the performance of third-party logistics providers to deliver agreed SLA's

TASK DESCRIPTION

Provide input to the demand planning process including customer forecasting and demand plans submitted to ensure forecast accuracy metrics achieved and in-fill rate goals achieved.
Manage and track forecasting, demand planning, and customer order fulfillment.
Assist to ensure forecasting inputs and attend monthly DMR and S&OP meetings to ensure alignment with any stock and or Demand Planning Issues.
Design and implement continuous improvements in procedures to improve forecasting and supply accuracy.
Provide regular feedback to internal and external stakeholders to assist them in monitoring supply and service metrics.
Ensure prompt execution of sales orders within agreed timeframes.
Processing of export orders
Preparing bank forms (F178 for orders more than R50 000)
Liaising with clients and forwarding agents
Letter of credits/cash against documents
Following up on orders – road freight
Organising export permits
Sales daily / month to date communicate
Produce month end reports
Organise SGS inspections
Issue back order reports
Process credit notes
Filing
Implement and communicate key metrics measurements to track supply and service metrics.
Coordinate Export Customer queries and requirements between stakeholders quickly through to solution.
Monitor and track service delivery to meet agreed SLA's and meet customer service standards.
Ensure execution of export logistics through to delivery in the destination country.
Oversee customer account opening SOPs to ensure a fast turnaround, the accuracy of credit, pricing and payment terms.
AssistAct in liaison between finance and logistics provider to ensure accuracy of pricing and deals.
Process and track all claims emanating from various customers relating to promotions, deals, stock issues, etc. and ensure that the accounts team is aligned.
Assist in problem-solving around Export logistical issues i.e. Transport, Stock Requirements, Country Requirements, Documentation Requirements.
Provide the logistical support to execute promotional material requirements in export countries.
Provide monthly, quarterly and annual reports to management reporting on export demand planning and customer service key metrics.

Education and Training:
Diploma in Business or Export Administration
3 years experience in Export Sales administration
Working knowledge of Export procedures, terms, INCOTERMS, and statutory compliance procedures.
Excellent coordination skills and ability to handle the fast-moving environment.
Excellent Customer Service and Liaison Skills.
Cross-cultural sensitivity to manage diverse customer attitudes.
Organised and methodical personality
Ability to work in a fluid, dynamic and ambiguous environment.
