Large pharmaceutical company requires a Finance Assistant to join them while their current Finance Assistant is on maternity leave. This position will be for a period of 6 months and is ideally suited for someone who can commence work immediately.

Job Function:
The focus of the Administrative Assistant is to provide administrative support primarily to the Finance Manager as well as the rest of the Finance team. To assist in the volume of transactions of capturing of invoices, preparation of commercial fees

Minimum Qualification:
High school graduate or equivalent plus business/accounting either completed or in the process of completing appropriate to the finance role.
Basic Competencies and Minimum Experience:
Two to three years of related financial/office experience required.
Computer competency requiring word-processing, spreadsheet and database software
knowledge and experience, the emphasis being medium to advance skills on Microsoft excel

Special Skills:
Minimum 2-3 years of administrative experience.
Above average Microsoft Office experience required – particularly Excel, Word and Power point.
Ability to work independently with limited supervision and capability to multitask/prioritize.
Flexible working hours as the need to work overtime may arise
Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
Able to deal with people sensitively, tactfully, diplomatically and professionally at all times.
Strong attention to detail.
Strong work ethic and positive team attitude.
Ability to work without being interrupted and high concentration levels

• Duties and Responsibilities:
• Processes and/or oversees the processing of financial/business forms.
• Checks, corrects and maintains a variety of financial and other business records and documents.
• Provide administrative support to the Finance team, particularly the Finance Senior Leadership Team.
• Prepares or assists in preparing various financial or administrative reports.
• Approves and processes requisitions for supplies and equipment.
• Prepare cheque requisitions for any Finance invoices.
• Pick up and distribute incoming mail
• Contributes to unit goals by accomplishing related duties as required.
• Maintain and distribute Finance circulation files.
• Coordinate ordering of office supplies (including paper and toner) for the Finance team.
• Primary contact for phone messages.
• Distribute financial statement packages – both draft and final.
• Assist in the preparation of quarterly materials.
• Assist in the preparation of the Finance sections of the Annual Report.
• Maintenance of Finance boxes stored off-site.
• Capture Cashbooks, Standard chartered, Citibank, Nedbank, Petty cash and Credit Card
• Inputting of Debtors invoices
• Reconcile stock account
• Inputting of Creditors
• Cashbooks inputting of data
