Education Specification (Not Negotiable)
? B.Com
? 3 years’ experience post SAIPA articles preferably in the property industry

- Roles and Responsibilities

1. Daily:
1,1 Assist with queries from FM/PM

2. Weekly:
2,1 Review and sign off of all expense/payment capturing done by Creditors Clerk (priorities / monthlies / ad-hocs etc)
2,2 Utilities management - weekly review of Utilities Master Schedule to ensure in line with invoices checked for capturing and to ensure payments are up to date, and where applicable, accruals accurately raised
2,3 Review and assist where necessary with Utility Rebill reconciliations
2,4 Review of weekly Cashflow - (Group Treasury update)
2,5 Ensure excess cash is managed efficiently - Either placed on Call or with Abfin, or Bond

3. Monthly:
3,1 Tenant Installation and Commission amortisation calculation and journal
3,2 Normal and Utility Accruals reconciliation and journal
3,3 Prepaid Electricity journal
3,4 Prepaid Electricity top up payment calculation - to be given to Utility Administrator
3,5 Prepaid insurance recon and journal
3,6 JV recon and journal - where applicable
3,7 Special Journals - reallocation/correction journals
3,8 VAT reconciliation and submission on SARS efiling
3,9 Resolve and respond to VAT queries, and preparation of SARS documents where applicable
3.10 Preparation of Payover calculations
3,11 Self-invoicing to be done for payovers by the owner period close - currently limited to one person
3,12 Monthly review of Watch Dog and Rates Watch Reports (Utility Service Providers reports)
3,13 Review of PEC audited utility accounts and comparison of what has been paid to ensure they are in line
3,14 Monitoring ownership changes on Council accounts to ensure these are done timeously
3,15 Review/perform completeness check to ensure that all utilities have been received
3,16 Accountant to advise PM that credit is due from Council, PM obtains approval from owners, and PM sends summary of queries to Consultant, and gets feedback (Administrator to assist with liason)
3,17 Monitoring of monthly accounts for Body Corporates and Owners Associations (expenses vs recoveries)
3,18 Support to Financial Managers for financial information in Pre-Propco
3,19 Balance Sheet (validity) : Ensure all Balance Sheet recons agree to TB, including, but not limited to:
Bank Recon
Call Account
Debtors/Tenant Age Analysis
Prepayments
Tenant Deposits/Utility Tenant Deposits/Bank Guarantees - advise PM/PA of TD/BG recon and expiring BG's
Council Deposits
Supplier Age Analysis
Accruals
VAT (including VAT Sales Recon)
Lease Costs (including Tenant Installation and Commissions)
Loan Accounts (ensure in parity)
Retained Income - must agree to prior year AFS/Audited TB
3,12 Review Income Statement allocations (completeness and accuracy):
Ensure completeness of revenue/recoveries - over/under-recovered
Ensure accuracy of allocations
Ensure completeness of accruals
Highlight other exceptions
3,13 Preparation of ICU - where applicable
3,14 Review of monthly Propco / Shareholder Packs (Where applicable, Actual YTD and forecast information)
3,15 Review of intercompany recoveries (eg. Abreal Management Fees) to ensure correctness thereof

4. Quarterly:
4,1 JV vs owner entity check to ensure monthly JV journals are correct for owner %'s - where applicable

5. Ad-hoc:
5,1 Verification of suppliers and payments on online banking
5,2 Loading of suppliers on MDA and verifying same on Online Banking
5,3 Prepare year-end and half year-end Audit Packs and save to Auditors Share Drive
5,4 Assist with audit queries
5,5 BUDGETS/REVISED BUDGETS - assist in preparation and import/export process in MDA
5,6 Review of Turnover Calculations (Retail specific)
5,7 Attending Propco Review & PROPCO(FM)
5,8 Relevant ad-hoc tasks as and when they arise

6. Order Process:
6,1 Agree the order to the supporting documents (EAF, budget, quotes, etc)
6,2 Agree the GL allocation to supporting documents (order and EAF)
6,3 Ensure that all documents are signed in terms of the Levels of Authority
6,4 Authorise the order on MDA, once all documents have been confirmed as correct

7. Creditor capture batch checks to be done by Accountant :
7,1 Agree the invoice details to the capture batch
7,2 Agree the GL allocation to supporting documents (order and EAF)
7,3 Ensure that the invoice meets the SARS requirements of a VAT Invoice
7,4 Review the Supplier Reconciliation for accuracy
7,5 Ensure that the tax code selection is correct (eg. Standard input tax vs capital expense)

8. Checks to perform by Accountant before verifying payments on Online Banking:
8,1 Agree banking details on Standard Bank Audit Report (SBAR) to Invoice/MDA Payment Approval
8,2 Where CDI payments being made, agree bank reference on SBAR to Invoice/Statement (eg. Utility account number)
8,3 Agree amount captured to amount being paid
8,4 Ensure correct legal entity making payment and beneficiary
