Note: Individual’s time will be devoted to about 60% as fixed asset administrator and 40% office administration assistant

General:
• Position based at Parow Valley, Cape Town, however successful employee need to visit campuses resulting driving alone mainly in City of Cape Town and Durban.
• This is a hands-on position with intense dedication to complete administrating work within strict timelines, and not a managerial, supervising or delegating position.
Key responsibilities will entail:
Assets Management:
• Verification of assets;
• Updating the fixed asset register manually and electronically;
• Processing asset additions;
• Bar-coding new assets;
• Transfers and disposals on JD Edwards system
• Distributing asset reports;
• Identification of broken and obsolete assets;
• Reconciliation of asset control accounts.

Assets Management requirements:
• Outstanding experience in the field of fixed asset management with the use of JD Edwards system
• Valid driver’s license (willing to drive in Cape Town, hilly Durban; and maybe other Provinces)
• JDE Edwards system experience (RSS; assets; general ledger)
• Working knowledge of Qlickview;
• Be available to travel to other provinces and work alone completing tasks in strict timeframes;
• Be a team player, as well able to work alone when required, and meet tight deadlines
• Computer literacy, MS Word, Excel, Outlook.
• Willing to enter not only offices but also potential hazardous environments like laboratories, Clinics and Animal Rooms for verification of assets. As per SAMRC protocol entering animal rooms, employee must be tested for mycobacterium for tuberculosis (TB).

Administrative Assistant for Finance Division and HSE Office:

• Procurement of services, products and travel arrangements as required including follow up with vendors
• Verification of certificates and required registration through liaise with SAMRC departments, and external authorities ensuring technical compliance of vendors
• Liaise with SAMRC departments collecting and delivery of internal documents, manually and electronically.
• Continuously updating filing and internal archiving of documents
• Organising events, training sessions and ad hoc administration functions as requested by managers
• Assisting managers with following office administration functions but not limited to, ensuring compliance to statutory requirements regarding Occupational Health, Safety Act and associated legislation;
o Diarise HSE manager meetings. Taking of minutes at meetings.
o Act as first aider when required, and oversee that first aid registers is updated and consumables is replenished
o Reporting and follow-up of injuries on duty with SAMRC managers, department of labour, contracted consultants, and medical treatment facilities
o Under direct and indirect supervision of HSE manager, recording and notifying unsafe acts and conditions to management, and via reports and internal help desks, and report waste management data to DEA using the IPWIS system
Administration Assistant Requirements:
• Sufficient and dependable experience in Office Administration in the Finance and HSE environment
• Must be a self-driven individual
• Valid driver’s license;
• Be available to travel alone to other SAMRC Campuses;
• Training and experience in First Aid and H&S representative requirements
• Trained in Injury Reporting in the Workplace including online reporting on the new Umehluko system of department of labour (DOL) will be an advantage;
• Experience in online reporting on the Umehluko system of DOL, and IPWIS system of DEA will be an advantage.
• Willing to wear personal protective clothing as required and when working in hazardous areas, and exposed to hazardous material and equipment.
• Must be able to use the JDE Edwards system and working knowledge of Qlickview
• Computer literacy, MS Word, Excel, Outlook and typing skills.
Employment: Must be able to commence with work immediately – Jan 2017
Days: 5 day week
Hours: 8 hour day
