An exciting opportunity has arisen to join this well-established functions & conferencing hotel in the beautiful Heldervue area.
SCOPE AND GENERAL PURPOSE:
To greet guests and allocate rooms according to laid-down procedures.
RESPONSIBLE TO:
Rooms Division Manager
Front Office Manager
MAIN DUTIES:
· To greet the guest and identify his/her specific reservation.
· To allocate room according to reservations list, ensuring that this is what the guest has booked, both in terms of the room itself and the rate
to be paid.
· To issue the key card.
· To liaise or alert porter so that the guest’s luggage is taken to his/her room and the key issued.
· To update occupancy list, giving copies to the porter and Communication Centre coordinator.
· To ensure that all departments, particularly restaurants are notified of the tariff entitlements.
· Printing of contingency reports utilising Fidelio Opera.
· Monitoring of Reception Hand-over diary on a regular basis, noting special requests.
· Processing departures – cash payments, credit card payments, foreign exchange payments.
· Processing of direct bills, noting correspondence instructions.
· Ongoing liaison with housekeeping department on room status.
· Setting up of “O” status accounts.
· Co-ordination of Hotel transport diaries.
· Daily balancing of Fidelio Opera employee audit report.
· In depth hand over to next shift.
· Being knowledgeable of local restaurants and tourist destinations.
· Ensuring float levels are kept at the amount initially signed for.
· Ensuring change levels are of sufficient quantity to assist guest requests.
· Ensuring stationery levels are sufficient.
· Assist and exchange foreign currencies, following laid down procedures.
· Ongoing liaison with maintenance department regarding requests.
· Liaison with room service regarding special requests.
· Obtaining prior authorisation before processing credits onto guest bills.
· Ensuring correct usage of all front desk equipment, and reporting any faults to management.
· Ensuring room moves are co-ordinated with housekeeping, following front office guidelines.
· Ensuring that the delay of ready rooms for early arrivals is kept to a minimum
· Offering of safety deposit locks to all arrivals, and adhering to correct administrative procedures
· Being aware of the Hotels policy regarding guest safe.
· Being adequately versed in Hotel facilities.
· Collecting correct deposit from cash paying guest.
· Ensure that all interaction with guests is conducted in a friendly, efficient and helpful manner.
· Following of correct procedures when using parcels register.
· Informing florist daily of arrival rooms requiring flowers.
· Ongoing check in and registration of arrivals, ensuring registration card has been completed correctly, i.e. signature, address, E-mail
address, passport details and obtaining credit card details.
· Rooming of guests in accordance to laid down performance guidelines.
· Obtaining exceeded credit limits on credit cards and transferring pertinent information onto guest folio.
· Ensuring all correspondence to guests is commensurate with the image of the Hotel.
· Posting of dockets to guests’ accounts, utilising Fidelio Opera.
· Ensuring Night Manager is informed of all activities on the front desk.
· Maintains the highest degree of personal appearance and hygiene at all times.
· Be aware of all fire safety and emergency procedures.
· Be aware of, and abide by, all rules of the Employees Handbook.
· To devote all working efforts for the good of the hotel.
· To ensure effective communications by attending meetings as required.
· To carry out any reasonable duty requested by senior management.
· Ensures that all staff wear the correct uniform and name badges at all times.
· Deals with guests in a friendly and polite manner, offering a high standard of service at all times.
· To attend seminars and training courses as and when directed.
