Frontline Administrator – Simon’s Town

This is an EE position with growth opportunity!

Our client, manufacturing for the pharmaceutical industry is looking for a LIVELY, ENERGETIC FRONTLINE person to be their face and voice of the company!

Salary: R10 000 with benefits (Pen, Med Health Insurance, Dividends)
Working hours: Mon – Thursday: 8 – 4:30, Friday till 3.30

Ensure switchboard duties are carried out in professional manner which includes, inter alia:
-Answering of incoming calls
-Placing of outgoing calls for the directors
-Relaying of telephone messages to personnel
-The reception of external visitors to the offices is carried out in a pleasant & professional manner
-Management of housekeeping staff
-Responsibility for the general e-mail address
-Ensure proper mail distribution
-Sundry ordering duties, such as sundry office supplies and stationary
-Stationary control
-Ensuring that all boardroom presentations, meetings and other company events are properly catered for and that the facilities are clean and well preserved. This includes booking the boardroom, setting up and packing away of the equipment (projector, etc.) required, arranging refreshments, preparing for factory tours and
presentations
-Catering and coordinating of beach braais and/or other internal or external functions
-Maintaining the coffee bar and ensuring that adequate supplies of refreshments, cutlery and crockery is always on hand
-Typing (usually dictated) of correspondence and various other documents
-Filing of correspondence and various other documents
-Archiving of old documentation
-Obtaining courier quotes and arranging dispatches of documents, samples and the like
-Booking drivers for deliveries/collections
-Liaison with the client and supplier base of both Kelp Products Pty Ltd and Kelp Products International Pty Ltd
-Assisting with maintaining Unity Healthcare membership list (adding or exiting members and queries relating to the membership)
-Assistance with submission of all permits and registrations with the Department of Agriculture, Forestry and Fisheries
-Assistance with coordinating and arranging international visitors’ itineraries and monitoring of budget
-Assistance with leave management of staff and other ad-hoc HR duties
-Various administrative duties (photocopying, faxing, scanning, laminating, etc.)
-Printing of certain labels
-All general matters relating to the efficient management of the front office
-Acting as on-site first aider
Requirements:
• Good Microsoft Office (WORD, EXCEL AND POWERPOINT) knowledge and general computer skills
• Ability to type 35 words per minute accurately
• Strong data entry and typing skills
• Excellent written and spoken communication skills and fluent in English
• Valid Driver’s licence
• MATRIC
• 3 YEARS WORKING EXPERIENCE
• Attention to detail & problem solving skills
• Good organisational and multitasking abilities
