Position Overview:

The primary role of a Trade Execution Coordinator is to execute contracts according to contract terms, be responsible for the full admin function around executions of trade contracts, domestic movements of goods and high seas (Imports and Exports), working closely with the Trading department, customers, farmers, origination team, transporters and silos/co-ops.
Also included is data capturing, invoicing of customers, cost accruals and processing of service provider invoices

Education:
Matric
* BCom desirable
* Logistics qualification desirable or qualified by experience.
* Computer literate e.g. outlook, excel, internet & intranet

Key Requirements:
Experience:
2-3 years work experience in logistics or Administrative position preferably in an Agricultural Commodity environment
* Planning and logical thought process
* Reconciliation experience – thus good numerical skills required.
* Experience in Microsoft Excel

Customers and Suppliers:
Daily telephonic contact with customers & suppliers, transporters and service providers
* Relationship-building and visits with customers
* Communication on farmer origination and execution of contracts

Stock
Stock allocations based on execution pick-up calculations
* PnL/Pick up reporting with Trading division on system executions
* Monitoring customer stock levels and ensuring uninterrupted mill production on a daily basis
* Resolve stock queries

Transporters
Delivery instructions to transporters
* Co-ordination with Freight Desk on rail wagon ordering with Transet Rail
* Follow up on wagon placements, reading and interpreting Transnet tracking documents
* Monitor road haulier’s progress and take appropriate action
* Co-ordinate loadings with 3rd party silos and road transporters
* Execution of rail/road deliveries in system

Admin
Allocation and approval of service provider invoices
* Monitor Accounts Receivable and customer credit limits
* Invoicing and attending to customer queries
* Contract reconciliation & finalization
* Contract PnL calculations on a regular basis

Re-conciliation of pickup report affecting PnL on a monthly basis
* Management of cost accruals on every contract
* Insurance declarations
* Service Quality Index reporting
* Processing of purchase invoices

Imports/Exports
Vessel document instructions
* Permit applications - PHYTO and GMO
* Managing permits and liabilities associated with permits
* Customs clearance instructions
* Vessel discharge/loading instructions to agent
* Appointment of discharge elevator/facility
* Lay time calculations
* Shipping costs accruals
* Negotiation of letters of credit
* Sound knowledge of cross border trade
