We are looking for a Groups & Conventions Co-ordinator for a very well established hotel in Klerksdorp.Qualifications :1 years experience in an Events Co-ordinating functionGeneric Competencies :AccountabilityCustomer ServiceResults OrientationTeamwork and CooperationCommunicationConflict ManagementCultural AwarenessFlexibilityInitiativeActivities:Check that all clients sign paperwork at all relevant fieldsFollow guidelines set out for adhering to company policyCompile all function sheets according to client requirementsKeep check sheets updated at all timesAdhere to 24 hour response time on client correspondenceCompile function sheets accurately and timeouslyKeep all client files updated at all timesKeep customer complaints a minimum and notify manager immediately should these arise.Keep late arrangements to a minimumCompile and distribute Groups & Conventions operations Meeting minutesKeep tentative bookings to a minimum by adhering to Sign by DatesConduct daily checks on all deadlines as per System ReportsAdhere to limits of authorityCheck that all activities on Opera is recorded.Adhere to timelines set by manager for 7 Day function run information deadlinesSchedule pre-cons and food tastings for all relevant client bookings and communicate to internal departmentsMinimise complaints relating to invoices and escalate to Groups & Conventions Manager immediatelyAdhere to the company policy of notifying Groups & Conventions Manager of non payment.Minimise non payment and ensure they are authorised by relevant parties.Specify correct and accurate accounting procedure per eventProvide information as per deadlines for internal auditCompare all final invoices to Signed Contracts and Function Sheet and returned to FinanceAttend functions of 500 people or more or any booking that had problems during the booking process.Adhere to 24 hour deadlineCompile and distribute to relevant parties with in 24 hours after the meetingAdhere to Sign by dates - if extension is needed this must be authorised by Supervisor or Groups & Conventions ManagerDistribute all late arrangements by email on the daily late arrangementsAdhere to 24 hour response policy at all timesEnter correct information on client details related to function on Opera and keep up to date at all timesAttend weekly Groups & Conventions Departmental Meeting;Follow guest service procedure to ensure positive mystery guest feedbackSend a guest questionnaire and cover page to each client after every eventNotify manager & supervisor of all complaints to ensure immediate action.Read and action Function reports immediatelyPlease submit your application with a professional photo of yourself and contactable references.
