National group are looking for a HR Administrator Clerk to provide effective HR Administration function

DUTIES:

Personal files
• Maintain personal files for employees including all relevant information, including leave, payroll, training and disciplinary and personal records.
• Do filing as required
• Ensure personal details are update annually
• Create new files for new employees

Clocking system – Head Office and Distribution

• Check and mark up monthly clocking reports.
• Check reports against ESS leave reports to ensure all leave entered
• Check clocking reports for late clocking

Staff report – Group

• Maintain Group staff report and distribute monthly by the 7th.

Recruitment

• Place advertisements on gumtree and other online portals or newspapers as required
• Liaise with Recruitment Agencies as required
• Screen CV’s for HR Consultant
• Set up interviews
• Conduct junior staff interviews
• Do credit checks
• Draw up assessment tests
• Book and arrange polygraph tests and criminal checks on instruction from HR Consultant

Training

• Keep record of all training interventions for SETA and BEE reporting purposes
• Set up Wednesday morning training sessions
• Prepare annual submission to the WR Seta


Job Descriptions

• Assist HR Consultant to draw up and maintain job descriptions for the Group

Discipline
• Issue notices of hearings
• Conduct informal disciplinary hearings
• Issue counselling letters, verbal and written warnings

General HR Administration

• Maintain records of all polygraph tests done in the group
• Maintain records on VIP PM, Skills and EE modules
• Co-ordinate monthly random polygraph tests at all Divisions
• Maintain a record of incentive penalties within the Group
• Prepare year end leave roster for HO and Distribution
• Maintain Group Organograms (including photographs of all employees)
• Assist with annual BBBEE preparation
• Assist with annual EE reporting requirements
• Manage IOD and WCA reporting requirements
• Maintain records of gift declaration forms received
• Maintain records of Workforce employees
• Ensure all entry and exit requirements completed as per checklists
• Maintain and update Group Hr Policy manual

REQUIREMENTS:

1. Grade 12
2. HR Dimploma / Degree or studying towards a similiar qualification
3. 3 + years experience as an HR Administration Clerk performing similiar duties to above
4. Advanced MS Office
5. Knowledge of VIP Personnel Management, Equity (EE), Skills Modules - an added advantage
6. Knowledge of legistlation related to PAYE, UIF, SDL Levy, Workmens Compensation, SETA and EE reporting (essential)
