Human Resources Administrator / Payroll (wage earners only)

Preference will be given to candidates who are available IMMEDIATELY

Hours of work: Monday to Friday 07h30 to 16h30 (half day negotiable)

May be required to travel from time to time in order to visit sites for payroll inspections (maximum 2 nights away from home). 5 times in a year (once per site). Only 3 sites require a night away from home

Job Tasks:
• Payroll Administration – Average total number of employees 600
• Manage employee records in payroll system (new, resigned, and discharged)
• Capture employee monthly payroll data into payroll system
• Manage all garnishee, maintenance orders, union and provident employee deductions and company contributions, ensuring payment
• Manage loans and loan deductions
• Process leave taken
• Issue payslips and reports to area managers for verification prior to payment
• Export monthly payroll into the various company bank accounts for authorisation and subsequent payment. Prepare cheques for those employees that do not have bank accounts
• Prepare payroll and leave journals for posting into accounting system. And the monthly reconciliation of certain wage accounts in the general ledger.
• Reconcile amounts paid out back to payroll system
• Print and save all monthly reports from payroll system
• Issue all leave reports to the various companies and divisions
• Submit EMP201 and COIDA reports for relevant companies
• Monthly backup of payroll system
• Monthly preparation of payroll related general ledger balance sheet reconciliations
• Ensure compliance with SARS tax number registration – all employees
• Prepare and maintain payroll records, reports and configuration in payroll system
• Submit UIF monthly return to Department of Labour for relevant companies

Human Resource Administration:
• Provide day to day HR administration inter alia:
• Assist with the development of administration, recruitment and job description procedures and policies
• Preparation and submission of annual Workplace Skills Plans and Annual Training Reports. Assists with the preparation of Employment Equity reports for submission to the relevant authorities. This is done by summarising, per employee, all training, invoices, attendance registers, and training certificates onto a spreadsheet per company per year.
• Regular monitoring of the annual plans submitted
• Assist with compliance of labour acts
• Ensure that labour contracts are compliant
• Updating of personnel files for certain companies
• Assist with the providing of HR and Payroll information as requested from the various companies and divisions
• Assist with the confirmation of employee status to various institutions
• Assists with office duties. i.e. Purchase orders, stock adjustments, telephone answering and other administrative requests as they arise

Skills Required
1. Proficient in Sage VIP
2. Strong excel and word processing skills
3. Proficient in SARS easyfile
4. Ability to speak and understand both Zulu and English
5. Knowledge of the basic conditions of employment
6. Understanding of skills development and employment equity rules and minimum legal requirements
7. Ability to resolve conflict situations
8. Self-motivated in meeting tight deadlines
9. Able to work in a team and be fungible in covering other areas when required to do so
10. Ability to analyse and scrutinize wage data for reasonableness
11. A basic understanding of book keeping is required
