HR OFFICER - PIET RETIEF:

MINIMUM REQUIREMENTS:
• Grade 12
• National Diploma in Human Resources (NQF Level 5)
• 3 years proven experience in Human Resources and Industrial
Relations in a South African Labour environment
• Proven experience as HR officer in a Unionised manufacturing
environment
• MS Office and SAP HR user exposure
• Payroll experience

MAIN DUTIES:
• To perform and provide effective Human Resources, Industrial
Relation and administration services, ensuring a harmonious
working environment for all employees
• Undertakes ad-hoc secretarial tasks
• Responsible for Payroll collation and administration
• Responsible for pension/provident fund administration,
including withdrawals and death claims
• Responsible for medical aid administration, including invoices,
death claims, enquiries, etc.
• Responsible for the administration of annual, sick and family
responsibility leave, ensuring records and balances are correct
• Ensure the pension and provident fund loans are according to
procedure and registered accurately on the System
• Resolve personal matters on social responsibility issues /
counselling of staff when required
• Payroll Administration
• Capture data and personal information and electronically
submit to the Payroll Officer for processing
• Accurately reconcile all overtime, standby, travel allowance,
leave sick leave etc hours and schedules
• Responsible for overtime, shift allowance and leave schedules
• Arrange for appointments, promotions, transfers for staff and
termination of service
• Prepare all overtime and working schedules for submission to
head office
• Distribute remuneration slips
• Administration
• Monitor and update the access control, time and attendance
system
• Ensure registering and record keeping of cards and
information for new employees/visitors on system
• Complete daily updates and distribute reports to the Head of
Departments
• Ensure that terminations of service are completed according to
procedure and conduct exit interviews
• Compile monthly statistics reports to HOD and Human
Resources Manager and National Human Resources Manager
on head counts, training, organisation structure and
disciplinary enquiries
• Responsible for general administration of Personnel records,
notice boards for staff related matters, filling staff documents
and sending faxes as requested
• Responsible for stationery of the Administration Building,
photocopy machine, and paper.
• Responsible for work confirmations on credit applications, etc.
• Secretarial
• Compile appointment and regret letters
• Responsible for approval letters for donation of rejected
products and regret letters for donation applications not
successful
• Make travel and accommodation arrangements and ensure it
is approved
• Organise birthday diary and cards for Factory Manager
• Make all required arrangements for visitors (i.e. meal requests,
conference room, catering, access cards, and protective
equipment).
• Keep stock and issue protective equipment to both visitors and
new employees
• Recruitment
• Identify specific recruitment needs in conjunction with the
relevant line/ plant manager
• Preparation of personnel requisitions and obtain relevant
authorization
• Preparation of internal and external adverts as well as
recruitment requirements in accordance with the minimum
inherent job requirements
• Liaise with recruitment agencies, when necessary
• Shortlist suitable candidates and cv
• Conduct interviews with relevant line , plant or National
Managers
• Ensure all reference, verification checks are conducted
• Prepare letters of offer- once authorised
• Keep abreast of changes and development in local market and
people resources, the availability thereof, including industry
trends, remuneration and benefit levels
• Assist with relocation arrangements, including furniture
removal etc, payment thereof, service obligations, as well as
payment of travelling expenses in case of attending interviews
• Training and Development
• Prepare plant training plan in conjunction with Plant/Line
Manager
• Ensure appropriate attendance of all employees and ensure
the training target plan and objectives are met
• Electronically load all training activities (actual and forecast) on
SAP for annual legislative reporting
• Ensure all training providers meet FIETA minimum
requirements
• Compile monthly training report
• General
• Attend training programs, national forums and legislative
updates, training courses and meetings
• Conduct and/or coordinate new employee inductions
• Prepare and oversee and where required provide support to all
employees with Performance Appraisals and Career
Development
• Prepare employee Talent Matrix and identify training plans to
address the identified needs
• Attend local shop stewards meetings- provide minutes and
liaise directly with National HR on all union matters
• Attend disciplinary enquiries, where necessary and oversee all
Labour Relations/ IR matters
• Ensure Procedural and Substantive fairness in practices and
applied when dealing with all disciplinary matters
• Ensure all disciplinary charges are correctly formulated and
provide assistance and guidance to line and Plant Managers in
this regard
• Where required attend and represent the company at CCMA
matters
• Update Job descriptions when required
• Additional tasks and duties may be added to the above
STARTING SALARY PACKAGE:
• R27,500 + 50% Medical Aid + Provident Fund + Bonus
