PURPOSE

To provide an overall administrative support to the Human Resources Manager and Management Team in the administration of the organisation’s Payroll and all Human Resources processes.

KEY RESPONSIBILITIES

• Recruitment and selection in liaison with the relevant Line Managers.
• Prepare employment contracts in line with the organisation's and the LRA’s requirements.
• Ensure new staff signatures of acceptance and understanding obtained of code of conduct and all relevant policies and procedures.
• Provide HR orientation for all new staff upon commencement.
• Update job profiles when relevant, and audit personal files annually.
• Ensure that the payroll for all staff members is captured accurately and timeously every month. Provide excellent customer service to all staff and management members on a daily basis.
• Timely and accurate capturing of salaries for all permanent staff members, as well as for locum/temporary staff.
• Coordinate the EFT transactions of all salaries in conjunction with the Finance Manager, and where relevant, with the finance department.
• Ensure correct deductions of variable claims.
• Check the final report for payments loaded with the management team at least 4 days before the payroll run.
• Capturing all corrections and re checking the payroll with the management team.
• Process/print pay slips and issue to all staff before the 25th of each month.
• Report on periodic schedules, monthly analysis, payroll reports and locum data as requested.
• Update information on the pension fund, medical aid and leave for all staff on a monthly / daily basis.
• Process the pension fund, medical aid contributions, leave and related payroll data.
• Update leave registers, ensuring relevant information is captured on payroll.
• Submit and monitor the pension fund and medical aid contributions and documentation to the relevant sources on a monthly basis.
• Provide HR and Finance/admin related assistance where requested.
• Provide excellent customer service to all staff and dealing with their queries and problems in an efficient, professional and customer friendly manner.
• Complete a monthly human resources statistical and narrative report timeously to assist the HR Manager. Provide labour turnover and all other relevant information for regular report back.
• Maintain monthly attendance register.
• Attend to disciplinary procedures and hearings, and ensure accurate documentation is filed for each case.
• Assist Line managers and staff in the Performance Assessment and Career Development discussions.
• Regularly follow up with team members to ensure all human resource deadlines are met.
• Maintain all staff personal files, ensuring all current information is filed, and audited annually.
• Assist staff with policy and procedural issues, including any personal issue
• Relieve Switchboard/Receptionist when required
• Compile monthly employment equity report and capture annual Employment Equity submission.

QUALIFICATIONS/EXPERIENCE

• Grade 12 and relevant HR qualification
• 3-5 years’ experience in Human Resources and Pastel payroll processes and systems

SKILLS/ABILITIES

• Knowledge of software packages: MS Word, Excel, PowerPoint, Outlook
• Knowledge of Human Resources practices and procedures
• Good written and communication skills
• Knowledge of BCEA, LRA, EEA and tax regulations
• Sound knowledge and experience of PAYE, statutory compliance and employee benefits
• Customer service orientated
