Fulfil your functions within the rules, regulations, instructions, policies and
procedures.
- Render professional administrative duties of the highest standard and according to any
lawful and reasonable requests and instructions issued to you.
- Receive, check, verify and file documentation.
- Forward finalised documents to the relevant authorities and customers after approval.
- Administer and update the computerised system.
Receive initial supplier documentation via e-mail or fax.
- Verify dates, prices, amounts, certificate of origin, certificate of health and
veterinary permits and check documentation for completeness and correctness.
- Complete forwarding/clearing instructions and forward it to the Clearing Agent.
- Obtain original documentation from suppliers.
- Compare original documentation with initial documentation received and verify that
details correspond.
- Forward original documentation to the Clearing Agent for releasing of the product.
- Initiate Telegraphic Transfer payments to be executed by the Accountant for
pre-payment CAD contracts by supplying them with the checked documentation, this also
applies to the ocean freight payments for FOB consignments.
- Submit the Bill of Lading to the Shipping/Clearing Agents in cases where the receipt of
original documentation is delayed by delivering it to them
- Forward original documentation via courier in cases where products are delivered in
Durban.
- Obtain ocean freight invoices from the shipping lines and check whether the correct
freight rates are reflected correctly on the applicable invoice upon receipt thereof.
- Update the computer system with all relevant information during the execution of the
above process.
- Provide branches, upon request with export documentation.
- Execution: To execute your work according to priorities and internal work procedures.
- Maintain and build healthy customer/client relations.
- Handle and resolve queries and complaints.
- Continually maintain a professional and courteous relationship with staff and customers.
o General shipping administrative knowledge/experience.
o 1-3 Years relevant Experience
o Preferably live in PTA
o The suitable candidate must be computer literate (Word, Excel and Outlook)
o The ideal candidate is seen as an excellent communicator (verbally and in writing) who is
hardworking, motivated, confident and energetic.
o The individual must possess excellent time management abilities and be able to complete
tasks at the highest standards of quality in a precise and accurate manner.
o The individual must be able to work independently but also function effectively as part of
a team.
o The successful candidate must be able to work under immense pressure and adhere to strict
deadlines.
