Job Description:

The Admin Assistant will report to the CEO and will be responsible for providing administrative support to the internal organisation as well as outwards to our clients. This is a diverse role that requires an individual who maintains a high level of service at all times, and has at least two years’ experience in an office environment within an administrative role. Providing these services in an effective and efficient manner will greatly contribute to the business’s growth and will ensure that operations are maintained in an effective and efficient manner.
Receptionist duties: meeting and greeting clients, answering the phone and ensuring that calls are transferred and diverted correctly during and after office hours
Consolidating and sending out invoices every month – follow up late payments
Ensure that supplier and publisher payments are made on time every month
Producing regular key metric progress reports and distribute these to the relevant stakeholders in the business
Assist with the preparation of Powerpoint presentations and updating of other company collateral
Assist in updating the company’s website and liaise with technical team where necessary
Secretarial duties like booking flights, coordinating meeting invitations, and ensuring the meeting rooms are prepared in advance of important meetings
Answering routine email enquiries and respond to these in a professional manner
Taking stock and ordering of office supplies
Updating and maintaining the company’s contact database (CRM system)
Any other administrative duties that may be responsibly required

Qualifications:

Matric + tertiary qualification
Fluent in English and Afrikaans
Minimum two years’ experience in an administrative role in a corporate environment – preferably from the financial, media or consulting industries
Proven experience of dealing with financial transactions, invoicing and payments
A keen business acumen and confident in working with analytics and numbers
Experience in working in contact databases or CRM systems
Experience in updating websites a definite advantage
Excellent organisational skills
Very good telephone manner a must
Well-spoken and service oriented
Ability to work under pressure and meet deadlines
Good knowledge of the Internet, Outlook, Excel, Word and PowerPoint
