This Company is one of the largest wholesalers and distributors of frozen foods in the country. With our primary focus being on frozen meat and chicken, we also offer a range of frozen vegetables, french fries, value-added potato products and processed meats. Merlog Foods proudly markets its products to a vast number of clients throughout South Africa and its neighbouring countries.

The Johannesburg branch is in need of a need of Jnr Transport Clerk this a shift position (1 week day/1 week night) The candidate will rotate shifts and thus fulfil both roles herein (Brief/Debrief).

JNR TRANSPORT CONTROLLER/CLERK(BRIEFER/DEBRIEFER)

Briefer Responsibilities:

DBN/JHB controllers will handle all transport issues including delivery, vehicle, roadblock, weighbridge and customer issues at different times. (SLA DBN TRACK & TRACE)

• Contact your DBN Controller via radio between 08h00 and 16h00.
• Contact your JHB Controller via Radio or cell phone after 16h00 to morning before 08h00.

1. Time Keeping: The shift starts at 05h30
2. Check in at security and sign in
3. Do the yard inspection ( confirm the seals, the documentation and that the fridges were plugged in properly)
4. Check the Debriefer handover report
5. Check the plan and confirm the driver, crew and fleet allocation
6. Ensure driver/crew are in full uniform (PPE)
7. In an event a driver/crew not reporting for work; phone the driver/crew and depending on the outcome make arrangements with Ilanga to get
a new driver/crew
8. Do the briefing:
• Review the previous day’s log sheets and use as reference points for briefing for the day
• Ensure the briefing is done orderly and structurally with one team at a time
• Encourage excellence and motivate good work
9. Initiate corrective actions against the drivers, crew, cleaner and shunter’s ill-discipline and follow up on the outcome.
10. Collect the completed vehicle check list ( Appendix A) from the driver and ensure they are filed
11. Verify that the fridges’ cables are put away in the Storeroom
12. Ensure that the driver leaves the yard within 10 minutes after briefing
13. Ensure all vehicles are dispatched by 06h30
14. Verify the key register and sign it off
15. Verify the truck entry and exit register and sign it off
16. Capture diesel, trip sheets, all fleet expenses; maintenance costs, service costs, fridge costs, tyre costs, fines and labour costs (on the TP
dash), timesheets and updating the board (KMs & fridge hours)
17. Schedule vehicles accordingly for services, fridge services, clutch adjustments and COF
18. Follow up on the DBN Fleet Controllers mails within 10 minutes and escalate to TP Manager if not resolved within 30 minutes
19. Account for the failed deliveries in full
20. Any event that is an exception to the normal must be reported immediately


21. Follow up on breakdowns; punctures, accidents, weighbridge issues etc. and advise all the relevant parties concerned
22. Do a proper handover for the De-briefer
23. In a case of accident/hijacking inform the managers, police, Netstar and ascertain the wellbeing of both the driver and crew and ensure that
the accident/hijacking are reported to police and Case Numbers and Accident Reports numbers are obtained.
24. Ensure the office is clean

De-Briefer Responsibilities:

Communication:

25. Time Keeping: The shift starts at 11h00
26. Check in at security and sign in
27. Do the planning and routing
• Do the first syspro pull at 11h00 for the country routes
• Do the second syspro pull at 13h30 for the local routes
• Send the load plan for the country routes ( syspro 1st pull) to the Coldstore by 14h30
• Send the final load plan for both the country and local routes ( syspro pull 1 & 2) to the Coldstore by 16h30
• Escalate anything out of the ordinary with regards to the cut off times
28. Do the driver, crew and fleet allocation
29. Check the Briefer’s handover report
30. Do the debriefing:
• Collect documentation from the drivers and ensure that documentation is in order; all the POD’s are accounted for and signed by the
customers and check for GRVs when vehicles return to Depot ( refer to appendix A – POD SOP)
• Check the relevant information on the trip sheets (such as time of delivery, kilometres travelled, working hours, fuel filled, fuel consumption, &
reasons for RDs) are properly completed
• In the event of shortages, initiate an investigation report and get the written statements to be signed for by the debriefer, the driver and crew
immediately ( refer to appendix B)
• On completion of the debriefing process sign the vehicle trip sheet as confirmation that all details and information have been checked and are
correct
• Ensure the drivers are shown the Netstar Driver Report daily ( refer to appendix C)
• Ensure the debriefing is done orderly and structurally with one team at a time
31. Encourage excellence and acknowledge good work

32. Initiate corrective actions against the drivers, crew, cleaner and shunter’s ill-discipline and follow up on the outcome.
33. Ensure the vehicle checklist ( appendix D) is done by the driver, crew and the shunter
34. Ensure that the completed vehicle checklists are signed off and filed.
35. Follow up on breakdowns; punctures, accidents, weighbridge issues etc. and escalate to the TP Manager and/or Ops Manager
36. Prepare a proper handover for the Briefer
37. Supervise the Shunter and the Wash-bay cleaners
38. On Fridays; Do the vehicle checklist and the trolley check with the driver accompanied by crew
39. On Fridays; Ensure the security checks and records the returns; RDs, failed deliveries and or collections/upliftments on the Security’s Returns
Summary ( see Appendix E)
40. Ensure that the loaded vehicles are properly parked and fridges are plugged in and running
41. In a case of accident/hijacking inform the managers, police, Netstar and ascertain the wellbeing of both the driver and crew and ensure that
the accident/hijacking are reported to police and Case Numbers and Accident Reports numbers are obtained.
