LEGAL ANTI-COUNTERFEITING SECRETARY - Level 3

Permanent, full time position
Location: Centurion, Gauteng
Salary: Negotiable – depending on experience


Principal Accountabilities
• Opening of new files;
• Receiving investigators’ reports and ensuring information is correct;
• Drafting reports to clients;
• Adhering to Standing Instructions;
• Receiving and drafting confirmation reports to clients confirming receipt of their instructions; ensuring reasons furnished for the counterfeit nature of samples are sufficient; if not, drafting correspondence requesting client to furnish clarification and/or alternative reasons;
• Drafting of various documents such as analysis statements; expert affidavits; complaint affidavits; raid affidavits; criminal complaint affidavits etc;
• Interacting/Liaising by way of e-mail and telephone with clients; suppliers; officials; importers; suspects etc.
• Arranging delivery of samples to clients for examination purposes;
• Lodging the various affidavits with the relevant authorities;
• Keeping track of deadlines and requesting extensions where necessary;
• Receiving seizure notices and ensuring details are correct;
• Conducting investigations as it relates to importers/suspects;
• Drafting letters of demand and undertakings;
• Drafting summons and particulars of claim;
• Drafting Notices in litigious matters;
• Arranging service with the Sheriff;
• Attending to settlement negotiations with importers/suspects;
• Receiving release/destruction notices and all related attendances;
• Instructing our agents to uplift; collect; deliver; count; destroy etc. the counterfeit goods;
• Compiling and updating of various schedules;
• Compiling and updating of stats for purposes of PowerPoint presentations;
• Attending to invoicing and all other billing requirements, including attending to WIP and draft invoices;
• Trust deposits and transfers;
• Compiling and updating status reports to clients;
• Receiving, attending to and/or allocating incoming post; faxes; e-mails; documents etc.
• Telephone attendances;
• Ensuring that our internal database is updated;
• Filing all correspondence and documents to DMS;
• Diary files, including deadline (red diary) files;
• Attending to various other secretarial/administrative duties.
• Excellent Microsoft Word, Excel, Outlook and PowerPoint skills
• An eye for detail
• Sense of urgency
• Dictatyping
• Must be able to work independently and in a team
• Strong communication and interpersonal skills.
