Legal and Compliance Administrator

R250 000 – R350 000 pa

Grade 12 and /or a recognised Diploma in Office Administration
1 year data capturing/typing experience
2-3 year secretarial/or administrative assistant experience

• Update outstanding data and maintain information required relating to FICA and FATCA on the computerised databases, including the BDA system and Murex:
o Manually capture information into existing computerised databases with accuracy and speed;
o Scan documents received relating to FICA and FATCA legislation;
o Ensure that the information is updated as and when required.
COMPLIANCE:
• Compliance Reports:
o Assist with the preparation of the Compliance report for the SICM Board, Fin Com and Risk Management Com and ensure accurate and on time submission of reports to Boards and Committees i.e extracting the PA trade information from the PDS system and incorporate it into the board report.
o Confirm the position and save the notification reports received from IT from the Murex system; Reconcile daily PA trades on the BDA system with Personal Dealing System;
o Prepare Restricted Watch list for Alarmco submission
o Distribute the PA Security Statements on a monthly basis.
o Gratifications Consolidate report to Group on quarterly basis.
o FICA/KYC to clients: Meet FICA/KYC requirements in preparing documents for external clients for Genbel Securities and all the wholly owned companies and Funds.
o FICA/KYC received: Meet FICA/KYC requirements for all new and existing counterparties; Request necessary documents, review, and scan and update FICA files and file electronically.
o MUREX: Capture the correct information in Murex when creating new counterparties; insert issuer, add credit issuer, link credit entity to counterparty or update details of existing Counterparties. Change details on Murex system for special projects e.g. Delete CPs. etc.
o Compliance Manuals: Update Compliance Manual as well as the Contractors Compliance Manual and ensure that HR has the updated copy for new employees.
o Compliance Schedule of Reports: Ensure that all the reports reflect on schedule with submission dates and are captured in the diaries.
o Compliance Training: Assist with the preparation of the training slides and documents for training session. Book meeting room with reception and Fedics and organise refreshments.
o Additional Responsibilities: Ad hoc requirements: assist Compliance as urgent matters arise.
LEGAL AND COMPLIANCE: FILIING:
• File Contracts in Strong room: Update list on G drive; scan to K drive and file in strong room. Obtaining agreements from safe if required.
• Direct Guarantees: copy for file in Legal office before filing in strong room.
• ISDAs, CSAs, GMSLAs and GMRAs: update lists and copy for Legal office
• Special Projects: For example, Comparison between all the original agreements in the safe and the list of documents on the G-drive.
LEGAL AND COMPLIANCE : GENERAL DUTIES

• Typing and re-formatting of documents
• Managing the leave schedule
