LEGAL SECRETARY – Level 2

Permanent, full time position
Starting date: ASAP
Location: Centurion, Gauteng
Salary: R15 000 – R20 000
Previous experience in a legal firm essential.

Previous related work experience of the following essential, knowledge tests will be conducted:
• Opening of new files;
• Drafting of:
New matter reports and associated correspondence;
Affidavits of complaint;
Expert affidavits;
Various letters;
Invoices;
• Work through the terminal server for purposes of editing pdf documents;
• Cropping photographs and printing to pdf;
• Interacting/Liaising by way of e-mail and telephone with clients; suppliers; officials; importers; suspects etc.
• Arranging delivery of samples to clients for examination purposes;
• Keeping the chain of evidence in tact;
• Lodging the various affidavits with the relevant authorities;
• Strict diary management, including deadline management;
• Requesting extensions where necessary;
• Receiving release and/or destruction notices and all related attendances;
• Instructing our agents to uplift; collect; deliver; count; destroy etc the counterfeit goods;
• Compiling and updating of various schedules;
• Attending to invoicing and all other billing requirements, including attending to WIP and draft invoices;
• Trust deposits and transfers;
• Receiving, attending to and/or allocating incoming post; faxes; e-mails; documents etc.
• Strict compliance with updating the internal data base;
• Strict compliance with the protocols of the DMS (Document Management System);
• Diary files, including strict compliance with the electronic diary;
• Attending to various other secretarial/administrative duties;
• Strict compliance with standing instructions, both internally and externally (clients).
• An exceptional eye for detail - Accuracy
• Typing speed of 50 wpm
• Sense of urgency

• Dictatyping (actual)
• Excellent Microsoft Word, Excel and Outlook skills
