Internationally recognised Law Firm is eager to speak to an experienced Conveyance Secretary to join a specialist team. This is a rare opportunity to work for one of the largest players in the industry.

Duties and responsibilities

Accurate opening of files and recording of information
Maintaining files in accordance with the firms and commercial department procedures
Executing all paralegal duties including faxing, emails etc.
Arranging meetings efficiently and updating supervisors’ diary
Typing documents accurately without errors
Following up independently with client on outstanding information and actions
Attending to routine correspondence and instructions of supervisor
Ensuring that invoices received on behalf of clients are captured on accounting systems for accounting department processing
Adhering to agreed month end billing procedures
Capturing approved invoices on account system
Sending invoices to clients timeously
Reconciling final accounts immediately after a matter is finalized
Handling of all general queries relating to invoices within a specified time period
Typing/drafting commercial agreements from other documents or Dictaphone and ability to prepare (or willingness to learn and progress to) preparation of notarial documents
Preparing draft agreements and other documents to set standards and forms

Skills and knowledge

Strong administrative skills to be applied to management of office files, incoming and outgoing correspondence (including e-mail) and electronic diary
Excellent communications skills
Able to work under pressure and priorities
Knowledge of commercial agreements will be a significant advantage as well as experience in preparation and registration of notorial documents – must be willing to be trained in this work
Excellent/Expert in MS Office suite (Legal accounting systems)
High level of precision and attention to detail
Typing speed of 60 WPM and accuracy in dictation
Commercial Law experience (a significant advantage)
Ability to handle all accounting issues
Flexibility with respect to time & work (may be required to do work outside office hours)

Requirements

Matric/National diploma (Secretarial) or equivalent qualification
Experience in working in a law firm
2 – 3 years secretarial experience
South African Citizen
