A well-known hearing company has a vacancy for a Receptionist at their Bloemfontein branch. The person will not only be responsible for the admin duties, but will also be involved with the basic Audiology functions.
Answer Telephone
• Address inquiries and make Appointments
• Take messages, solve message requests
• Welcome the patients
• Offer tea / coffee to patients waiting and see to their needs
• Collection of data for statistical purposes
• Hospitality and neatness of reception area, e.g. fresh flowers, clean carpet, neatness of magazines
Bookkeeping
• Capturing all cash sales and assist audiologist with transactions if needed.
• Receiving of payments and issuing of a receipt
• Daily cash up (daily activity sheet) and banking every Tuesday and Friday morning or if cash on hand exceeds R5000
• Comply with admin procedure guidelines
• Accept full responsibility for all cash at the branch
Stock Control
• Receive & Check parcels from suppliers
• Pricing of repairs
• Stock take every month end or as requested by head office
• Keep stock locked up – accept full responsibility thereof
Debtors
• Allocating account numbers to new patients
• Debt collections – Patients & M/Aids
• Handle debtors queries
Admin
• Hand patients the patient information form to complete and assist were necessary
• Make a copy of his / his I.D. and medical aid card
• Forward all admin related paperwork to head office
• Follow-up on medical aid authorizations and claims
• Petty cash, Postage
Audiology
• Assist with basic test of hearing aids
• Replacing of ear mould tubing
• Battery and filter replacements
• Basic product knowledge and be able to explain it to clients if needed
Marketing
• Send letters out to patients in filing system
• Keep accurate record of incoming calls
• Keep record of phone calls to follow-up with marketing material
Other
• Purchasing of consumables for the office, such as coffee, tea, milk and flowers
• Assistance with workshops and seminars
• Backup for Cleaner / Tea girl / Admin Clerk
