KEY RESPONSIBILITIES AND ACCOUNTABILITIES:
• Provide a positive external face of the company in role as first point of contact for most calls/visitors
• Answer main line and greet all visitors
• Receive, record and distribute post
• Ensure the security of the office is maintained at all times
• Organise travel logistics for staff
• Receive, record and print tender information (training given)
• Ensure office environment and facilities are maintained at good operational level
• Negotiate and agree all office contracts in line with business targets.
• Be aware of and responsible for cost control of all office expenditure
• Liaise with external consultants to develop office IT systems
• Deposit and record all income received
• Enter all invoices into purchase ledger
• Raise all payments and deal with queries arising on purchase ledger
• Prepare monthly purchase ledger reconciliation and review with Finance Manager
• Produce and distribute monthly statements of outstanding invoices for all customers and deal with queries arising
• Maintain and reconcile monthly the petty cash records
