Office Administrator Manager PA, Cape Town

Our client is looking for aan Office Administrator / PA / Office Manager with at least 3+ years experience. Must be available Immediately.

Position: Permanent
Salary: Negotiable
Starting date: Immediately available.

Min Requirements:
• Matric, Administration or Secretarial Qualification
• 3+ Years’ experience as Office Administrator
• PA Duties
• Tenders (Must have Tenders experience)
• PowerPoint presentations
• Must have own vehicle & Drivers License

Duties
• The person will be assisting us with administration tasks such as booking flights, preparing cost reports for projects,
• Facilitating tasks of the staff such as license disk renewals, etc
• Typing of documents
• Answer Telephone
• Keeping diary for partners
• Liaising with contractors – Electricians, Plumbers, Builders, Architects, etc.
• Arranging meetings
• Typing of general correspondence
• Typing up of legal agreements and other correspondence for the Financial Manager and Projects Manager
• Local and international travel arrangements for office and family
• Filing, faxing and e-mail
• Newsletters - current projects
• Potentially managing emails once, a relationship has developed.
• Looking after all personal matters: home and family
• Recons for medical aid, personal bank accounts
• Making sure all bills/accounts are paid monthly
• Ordering office supplies
• Keeping diaries for Managers
• Arranging and taking minutes at meetings
• Filing, faxing and e-mail
• Monthly management report – capturing and typing up of several reports and graphs and distribution
• Coordination of marketing business plan including typing up, design, layout and PowerPoint presentations
• Administer all day to day affairs
• Data Capturing - maintain client database
• Manage regular communication with various parties
• Initiate and compile newsletters
• Update website by giving content to the web administrator, Facebook page and LinkedIn page
• Deal with all general queries
• Control payments and petty cash
• Arrange and attend various meetings during the year including taking minutes and distributing thereof
• Organise and coordinate events every 6 to 8 weeks:
o Coming up with a concept (e.g. Music; sport; book launch; wine tasting etc.)
o Arranging the venue, catering, beverages, gifts etc.
o Co-ordination during the event
