Our client, a specialist in the design, fabrication, installation and commissioning of specialist processing plants within the dairy, food, drink and pharmaceuticals industries, is looking for an Office Manager; an all-rounder who can multi-task and be involved in all aspects of the business. As it is a fast-paced environment, you will need to have excellent multi-tasking and time management skills.

Job description:
• Implementing and maintaining procedures/office administrative systems.
• Proofreading and formatting letters, quotes and outgoing documents.
• Diary management.
• Dealing with correspondence.
• Preparing letters, presentations and reports.
• Reviewing, checking and processing clock cards for payroll. Liaising with the project managers to ensure time is correctly allocated.
• Managing payroll disputes.
• Cost tracking and budget management of projects.
• Supervising and monitoring the work of administrative staff.
• Management and maintenance of workshop staff contracts and HR documents.
• Generation and maintenance of quality and HSE documentation.
• Liaising with staff, suppliers and clients.
• Attending meetings with senior management.
• Managing ad hoc projects.
• Travel planning including visa applications, flight bookings and accommodation bookings.
• Assisting project managers with their site admin and logistic requirements.
• Taking minutes.
• Management of office-related service providers.
• Management, administration and implementation of BBEE and training system.
• Management of document flow process from all the office staff in the company.
• Screening call to the management staff.
• Assist in generating job specs, etc. required for recruitment.

Job Qualifications, Skills & Experience:
• Tertiary qualification.
• 3 years’ experience in a similar position.
• Able to work under pressure.
• Professional.
• Well organised and self-motivated.
• Excellent attention to detail
• Excellent Ms Office skills including MS PowerPoint, MS Excel and MS Word.
• Excellent typing skills.
• Excellent people management skills.
• Loyalty and integrity.
