Job Purpose:
To ensure that the office runs smoothly, manage office suppliers and landlord, project manage any office related projects and maintenance, manage the admin team, greet visitors, handle incoming calls and ensure the smooth and efficient running of the reception area.

Key Responsibilities:
• Budget responsibility for all office-related expenses, including adherence to 3 quote rule and signing authority levels.
• Manage delivery and quality from all office related suppliers (e.g. fumigation, plant care, water filters).
• Manage the premises and its contents and furnishings, in particular relating to maintenance, security, compliance certification etc.
• Liaison for landlord and office park suppliers and contractors.
• Manage the corporate Vodacom account, including managing the supplier and supporting the Head of Business Solutions with ensuring cost effectiveness of plans utilised.
• Load corporate travel into Tourplan (for CEO and other staff travel) and manage Diners miles flight bookings and corporate Europcar bookings.
• Keep stock control over consumables, refreshments and office material and order the supplies accordingly. Ensure that all storerooms are kept tidy.
• Document archiving.
• Operate the telephone switchboard - answer, screen and forward calls, provide information, take messages and schedule relevant appointments.
• Greet persons entering the office professionally, determine nature and purpose of visit and advise staff members of visitors.
• Prepare, sort and distribute mail, messages and courier deliveries.
• Maintain and update staff lists, as well as meeting room calendars.
• Ensure that the reception area is always clean and presentable.

Additional Responsibilities:
• Manage the team of cleaners to ensure the office is always clean and presentable.
• Ensure new staff have all the office tools required prior to their start date.
• Maintenance of office floor plan and staff parking list.
• Offer refreshments to clients and assist in setting up meeting rooms for meetings.
• Contribute to the smooth running of office activities.
• Maintain regular consistent and professional attendance, punctuality, personal appearance and adhere to relevant health & safety procedures.
• Pursue personal development of skills and knowledge necessary for the effective performance of the role.

Job Type: Full-time, permanent
Salary: R15.000 – R18.000 depending on experience + Medical Aid
