A dynamic, fast-growing Energy Solutions company is seeking a professional, highly-skilled and self-motivated office manager who will also serve as the PA to the technical director of the company.

To fulfill this role you will ensure that the technical director, financial manager and sales staff have excellent administrative support, enabling them to focus on business development and high-level management issues. You will be an excellent organiser and communicator with a proactive and friendly attitude. You will have the multi-tasking ability and flexibility to work in this dynamic environment and will work well under pressure to meet tight deadlines. Attention to detail, ability to work independently, ability to multi-task and prioritize, as well as a love of dogs are additional non-negotiable requirements.

The successful candidate must be bilingual (English/Afrikaans) and should be able to act as project liaison (mostly telephonic) between clients, suppliers and the sales force to ensure smooth roll-out of energy projects, sometimes conducted nationwide.

Duties include:
• Assist in mediating with role-players (clients, suppliers, contractors & sales) to ensure smooth roll-out/logistics of projects
• Organising and preparing proposal documents and presentations for use by the director and sales force
• Managing Health & Safety administration of projects
• Organising of meetings and time/diary management of director, as well as coordinating and booking travel arrangements
• Managing written / telephonic correspondence on pending matters and responding to urgent requests by staff, clients, suppliers, etc.
• General administration (quoting, invoicing, customer liaison) and office upkeep
• Financial support to the finance manager, as well as customer & sales support
• Providing support to the HR manager with HR-related admin / documentation
• You will be required to perform additional adhoc and personal tasks for the Director and his wife such as buying office supplies, walking their 2 dogs that are at the office every day, assisting with personal errands, etc.

Experience and qualifications required:
• At least 3-5 years’ experience as an Office Manager / PA to senior-level management / Project coordinator
• Relevant university degree preferable
• Pastel experience essential (quoting and invoicing)
• Project management skills will be advantageous
• Exceptional computer literacy (including Excel proficiency)
• Highly developed organisational skills and attention-to-detail
• Outstanding verbal and written communication skills
• Ability to be flexible and to think / work independently, without needing constant guidance / instruction
• Ability to meet tight deadlines and work under constant pressure
• Be able to work well within a diverse team, as well as independently
• Own vehicle and valid driver’s license essential
• Honesty, trustworthiness and professional integrity essential
• Must be willing and able to work overtime as and when required
• Experience in the energy sector would be highly advantageous

Salary: R14 000 – R17 000 (based on experience and qualifications)
Estimated employment date: 26 March 2018 (or sooner if possible). Interviews will be conducted 19-23 February. Office is based in Montague Gardens. Normal working hours will be 08:00 – 17:00, Monday to Friday, with occasional overtime as required.
