Office Manager
We are looking for an Office manager whom will be responsible for the profitable management and operation of the Well Maid office, canteen and restaurant according to the policies and procedures of Well Maid.
The Office Manager will support the development of strong relationships in particular with the chefs, office administration team, drivers, clients and others. The Office Manager will also designs and implement office policies by establishing standards and procedures; measuring results against standards and making necessary adjustments
Reports
•The Office Manager is to submit a written report each week to the executive team who will report to the project management team and accountant as suitable
Authority
•Maintains office staff by recruiting, selecting, orienting, and training or arranging training for employees
•The office Manager has responsibility for authorizing purchases/ordering necessary products and produce to assist chefs deliver a menu in line with the Nutrition in created Well Maid Policy and also has a responsibility to hire, train the new administration team under the executive supervision
•Management of the Canteen and Restaurant as well as the direction of office and canteen team.
•Planning, organising, and monitoring the day to day operations of the canteen and restaurant, including the rostering the team and of industry placement workers, daily record-keeping, stock, opening and closing the canteen, preparation and cooking for service and ensuring all workers sign in and out;
•Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
•Completes operational requirements by scheduling and assigning employees; following up on work results.
•Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
•Maintains office staff by recruiting, selecting, orienting, and training and organising formal training for employees...
•Contributes to team effort by accomplishing related results as needed.
•Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
•Ordering, purchasing and checking all supplies against invoices and delivery dockets with the Sous Chef
•Processing payments weekly with notification provided to the executives to allow for account payment.
•Processing payments onto the system, including a balance each month, reconciling the system at end of each month to the bank statements of the Canteen accounts.
Requirements
•Proven experience as an Office manager
•Bookkeeping/finance experience.
•3-4 year relevant qualification.
•Knowledge of office administrator responsibilities, systems and procedures
•Ability to work efficiently under pressure.
•Proficiency in MS Office (MS Excel and MS Outlook, in particular)
•Hands on experience with office machines (e.g. fax machines and printers)
•Excellent time management skills and ability to multi-task and prioritize work
•Attention to detail and problem solving skills
•Excellent written and verbal communication skills
•Strong organizational and planning skills in a fast-paced environment
•A creative mind with an ability to suggest improvements
