KEY OUTPUTS & RESPONSIBILITIES:

Fleet Controlling
• Plan and co-ordinate vehicle loads/routes with approval from the senior manager
• Creating of POD’s, Barcodes and Orders
• Tolls for drivers
• Responsible for arranging road diesel orders
• BVO’s need to be briefed and de-briefed on EVERY trip in order to ensure that both the vehicle and BVO are 100% compliant
• Liaise with customers and provide them with regular updates with approval from the senior manager
• Vehicles to be tracked and monitored for compliance In terms of the following:
o Route deviations
o Adherence to speed limits
o Unauthorised stops
• Overseeing the day to day activities within ones allocated fleet
o Ensuring that all required equipment is in order
o Report any defects to Workshop manager
o Diesel consumption to be in order
o Vehicles parked neatly in parking bays
o Ensure tankers are washed by ensuing there is continuous communication between Operations and Wash bay
o Ensure a secondary check is conducted on road tankers going for loading
o Ensure tankers are correctly loaded in terms of both the customer’s requirements as well as our road traffic legislation
o Be able to complete all relevant documentation for loading sites/loading abnormal loads/fire permits and cross border permits
• Ensure all cross border loads are followed up timeously
• Ensure runners at the borders and clearing agents are clearing transport documents in time
• Notify management and customers of any delays at the border at all times
• CBRTA Permits – applications and returns. Ensure proper records of cross border permits are kept.
• Ensure all relevant cross border tickets are kept on record (carbon, tax, coupons, environment)
• Ensure each vehicle has a fleet file(tachos and trip sheets are filled accordingly)
• Ensure BVO duty hours are captured
• Ensure BVO man hours are captured(if required)
• Daily completion of BVO register
• Ensure vehicle loads are captured on a daily basis (loads, kms, volumes, tolls, vehicles etc.)(Refer to Operations Manager)

Workshop
• Coordination/planning and booking of services in consultation with Durban as well as the senior manager
• Planning and booking of wheel alignment(truck , trailer& tanker) in consultation with Durban as well as the senior manager
• Coordination and planning of COR in consultation with Durban as well as the senior manager
• Preparation of all requisitions and invoices dealing with maintenance, repairs and breakdowns including issuing of order numbers in line with the Company’s procurement process
• Coordination of breakdowns during and after hours.
• Monthly workshop management reports:
o Recording breakdowns + costs
o Recording company van fuel utilization
o Recording of all purchases made for stores
o Recording of all purchases made for workshop
o Statistics compiled for all of the above
• Maintaining workshop files in line with Company Standards
o service records on each service completed.(truck & trailer/tanker)
o brake test done every 2 months. (truck & trailer/tanker)
o wheel alignment reports done every 4 months. (truck & trailer/tanker)
o COF documents and license copies every year. (truck & trailer/tanker)
o fire permits. (truck & trailer/tanker)
o BP job card inspection sheets done every 2 months. (truck & trailer/tanker)
o tyre inspection reports done every time truck is in depot. (truck & trailer/tanker)
o pressure and sensor test certificate done every 3 months.(tankers)
o dome cover maintenance sheets done every 3 months.(tankers)
• Daily and Weekly reports to management:
o Information received from DBN (Maintenance files)
o Information received from JHB (Maintenance files)
o Status on COR’s being completed.
o Status on BP inspections being completed.
o Status on pressure testing being completed.
o Outstanding information for JHB (action – operations manager)
o Outstanding information for DBN (action – operations manager)
Admin
• Toll reconciliations
• Diesel order for the depot
• Ad hoc admin duties


REQUIREMENTS / SKILLS:

• MS office
• Excellent written and verbal communication skills
• Good Interpersonal skills
• Creditors and Debtors knowledge
