OPERATIONS MANAGER – IT DISTRIBUTION - DURBAN

Reporting to the Branch Manager, the successful candidate will be based in Durban and will be responsible for the following:

KEY RESPONSIBILITIES:
Improve the operational systems, processes and policies in support of organizations mission, i.e., support better
management reporting, information flow and management, business process and organizational planning
Interfacing with support departments, i.e. HR., IT and Finance with a view to increase the effectiveness and
efficiency of Support Services to the whole business unit
Play a significant role in long-term planning, including an initiative geared toward operational excellence
Develop and oversee overall long-range financial management, planning, systems and controls
Management of agency budget in coordination with the Executive Director, and development of individual
program budgets
Invoicing to funding sources, including calculation of completed units of service
Payroll management, including tabulation of accrued employee benefits
Disbursement of checks for agency expenses
Regular meetings with Branch Management around fiscal planning
Ensure that all projects are planned and executed on a professional level, invoicing from Vendors on projects
followed through i.e. GRV’d and customers invoiced correctly and timeously
Liaise with product managers and ensure they understand buying correctly from supplier
Compilation of quotations and attending to Government sales team telephone calls
Understand and assist with all operations and logistical problems
Reduces unnecessary costs by effectively utilizing available resources to the greatest of their capacity
Oversee monthly and quarterly assessments and forecasts of organization's financial performance against
budget, financial, operational goals and managerial reporting
Processing of orders received for Government accounts, assisting the sales team to generate sales and achieve
monthly targets set for the business unit
Managing day to day processing of accounts receivable and payable
Administering payroll and employee benefits and organizational insurance
Ensure that Accounting Department requests are resolved and communicated in a timely manner to internal and
external parties
Develop, maintain and monitor all fundraising and accounting systems and procedures capturing all pledges,
billings and receipts and for the recording of all revenue transactions, recommend and implement improvements
to systems
Oversee organizational insurance policies, maintain and update the filing system
OHS Compliance, policy and procedures
Attend training sessions and events – during and after working hours

REQUIREMENTS
At least 5 years’ experience in Financial Management
Strong background and work experience in Finance
Excellent computer skills and proficient in excel, word, outlook, and access
Excellent communication skills both verbal and written
Knowledge of government contract management and Knowledge and experience in organizational effectiveness
and operations management implementing best practices
Demonstrated leadership and vision in managing staff groups and major projects or initiatives
Budget development and oversight experience
Knowledge of tax and other compliance implications of non-profit status
Be willing to go the extra mile
