Our client in the Security industry based in Pretoria is looking for an experienced and professional PA to the Deputy Director in Finance, to provide administrative services, managing diary, filing and coordinating meetings for the Deputy Director.

Job Description:
•Provide high quality and professional support to the Deputy Director
•Managing the diary commitment of the Deputy Director
•Plan, arrange, organize and coordinate appointments, meetings, events, functions and other engagements as and when required.
•Preparing documentation for meeting.
•Manage the Office.
•Sort and route incoming and outgoing correspondence and mail.
•Provide high quality and professional support to the Deputy Director.
•Provide a high quality and accurate typing service.
•Establish and maintain a reliable, effective and efficient filing, information and documentation retrieval system/management within the filing protocol of the Office.
•Ensure the provision of a shared administrative function within the office.
•Ensure a credible effective and administrative support service is provide to staff at all times.
•Provide office management services to ensure that the Deputy Director has all necessary office policies, procedures, processes and systems in place.
•Carry out research tasks and prepare specialist documents for the Duffy Director, so that information is available on request.
•Ensure the development and maintenance of management team contact list and database for all contacts for the Deputy Director.
•May be required to perform various ad- hoc duties delegated by the Deputy Director from time to time.

Required Qualifications and Experience:
•Relevant Degree/National diploma on Office Management/ Office Administration.
•At least a minimum of 4 years’ experience as an Executive or Personal Assistant to a Senior Manager is required.

Competencies:
•Ideal candidate should possess an advanced computer literacy in MS Office packages e.g. Word, Excel, Power Point Outlook and Access, as well as incredible skills in using the internet.
•Excellent verbal and written communication skills (to all levels & personalities).
•Excellent telephone etiquette skills.
•Excellent report writing, research and information gathering and information analysis skills.
•Excellent typing skills, at typing speed of sixty (60) words per minute.
