Minimum Requirements:
• South African citizen
• Matric / grade 12 (preference will be given to a tertiary qualification)
• 2-3 years experience as a Personal Assistant
• Syspro 6.1 experience and knowledge is an advantage
• Current, legal South African drivers licence

Job Responsibilities:

Duties – including, but not limited to:

Office duties

• Fulfil secretarial functions and office administration support to the MD.
• Daily meeting at 8:30 to plan the day.
• Diary Management
• Receive and appropriately filter all emails directed to the MD.
• Cancel spam mails by unsubscribing or blocking them on Mimecast.
• Forward emails to various managers that will be able to resolve it.\
• Handle and filter telephone calls
• Typing and distribution of correspondence
• Maintain proper reconciliations of:
- Personal credit card accounts
- Company credit card
- Frequent flier miles accounts
• Keep files of all software programs and manual with an index list
• Maintain existing filing system with an electronic index of the files contained.
• Prepare letters to the staff or to the management
• Take minutes of meetings when asked
• Make note of all statuary and personal returns, licences and expiries, schedule reminders for them and ensure they are fulfilled.
• Ensure that the office of the managing director is kept clean at all times by the staff assigned to cleaning of the premises.
• Organize and keep the bookshelf library in the MD office tidy.
• Arrange for daily lunch of the MD.
• Coordinate domestic and international travel.
• Leave book for MD staff management.

Personal Duties

• MD might ask you to assist with personal matters from time to time; medicine, cars, house etc.
