Payroll and benefits administrator is responsible for managing a company's employee compensation and benefits system. Among the duties of the payroll and benefits administrator are ensuring the smooth operation of employee payment and explaining and implementing employees' benefits packages

Capturing of the payroll

? Ensuring that employees are paid timeously and accurately every month by:
? Sending out Payroll Alerts to advise of payroll cut off times on an annual basis and sending reminder alerts on a monthly basis to ensure that all payroll input is received by the payroll cut-off date
? Capturing all payroll input for Kazang, EFTPOS, Namibia and Botswana onto the various Payroll spreadsheets per company for approximately 180 employees
? Distributing the updated overtime form to all departments annually and reviewing and ensuring the accuracy of the approved overtime and standby schedules received from staff
? Compiling garnishee information
? Obtaining and formatting special payroll deductions which include Cellular Telephone deductions, Canteen deductions, Gym membership, Unity Health, GAP and Medical aid deductions
? Ensuring that salary increases and bonuses are captured
? Ensuring that the appropriate changes are processed on the payroll when staff are transferred or promoted or demoted
? Processing all documentation for new starters and leavers and ensuring that UIF documentation is completed for employees who are dismissed or retrenched
? Ensuring that all payroll processing is in compliance with company policies and legislation
? Submitting the payroll files to the FM for checking and sign off
? Ensuring that the relevant service providers have correctly inputted the payroll information and obtaining sign off from financial managers
? Checking the payslips and EFT files and ensuring that all banking details are loaded on the bank
? Releasing monthly payslips to be available on the system each month to ensure that staff have copies of their payslips
? Handling and responding to discrepancies and queries relating to payroll

Benefit Administration

? Ensuring that documentation for medical aid is received from employees and is correct
? Checking medical aid billing to ensure that it corresponds to the amounts deducted for medical aid on the payroll
? Being responsible for the coordination and administration of Medical aid, Provident fund, Group Life, Unity Health, GAP and any other benefits
? Compiling monthly returns to be submitted to the provident fund provider and group life provider to reflect the amounts deducted from employees and paid for these benefits
? Calculating any tax or medical aid deductions and provident fund contributions
? Calculating statutory payments, such as maternity

Annual submissions

? Ensuring that a VIP consultant is available to complete bi-annual tax submissions to SARS at the end of the tax year and in September
? Ensuring that the IRP5s that are generated as a result of the tax submission are available on ESS and dealing with any tax related issues that may arise
? Managing the annual medical aid changes by ensuring that the medical aids present their offerings to staff, obtaining changes to medical aid, ensuring that they are sent to the medical aid and processing the changes on the payroll
? Obtaining COID reports from VIP and submitting them electronically to the Compensation Commissioner by the deadline date

Salary run:

? Preparing a detailed analytical review of salaries for the month, explaining material variances from prior month, to be submitted to FM for review and approval
? Loading salary payments onto Standard Bank online banking system, for review and approval by FM & CFO

Accounting:

? Processing month end salary journals into Pastel
? Maintaining leave pay provision schedule and processing monthly journals into Pastel
? Maintaining the annual bonus provision schedule and processing monthly journals into Pastel
? Reconciliation of various payroll control accounts on a monthly basis

HR Administration

? Compiling documentation for employee files, ensuring that all information required to be loaded on the payroll is complete
? Keeping the Masterfile information updated when new staff join the company or employees leave the company
? Dealing with employees’ salary related and general HR queries
? Administering and resolving COIDA claims with Discovery Health
? Assisting with garnishees and tracking

In order to be considered for the position, the following requirements must be met:

? Matric
? Completed degree in HRM / Industrial Psychology qualification
? Min 3 years of experience in an HR Officer position
? Min 3 years experience in full payroll function
? Min 2 years experience in working on SAGE HR & Payroll
? Labour Relations, Skills Development and Employment Equity experience in non negotiable
? Advanced Excel is essential
