Personal assistant

To provide PA support to Directors and Managers (total of 7) as well as admin support to the department. Will also ensure operational effectiveness within the department.
KEY RESULT AREAS:
Support team infrastructure
Diary, stationery and office equipment management.
Screening calls, re-routing where necessary and taking messages (Director)
Monitor and manage emails on behalf of principal Director to ensure swift responses and action.
Act as a gatekeeper for the Director’s office.
Arrange travel bookings and foreign currency
Make appointments and co-ordinate diaries for meeting, workshops, conferences, training, etc.
Facilities management for meetings, workshops and conferences which would also include arranging parking, refreshments, venues, etc
Manage the admin of on boarding and off boarding team members
Take minutes and ensure action items are executed within their deadlines.
Drive and manage operational departmental projects on behalf of Director.
Assist team with project administration and ad hoc tasks
Support Departmental team with IT, HR and admin queries
Ad hoc filing; typing; create & update presentation slides, draft basic correspondence, manage information management.

EXPERIENCE AND SKILLS:
At least 5 years secretarial experience supporting more than 6 senior team
Computer literacy (MS Outlook, Word, Excel, PowerPoint, SAP).
Strong organisation and co-ordination skills.
Good project management skills
Good communication skills, Excellent written and verbal communications skills
Good team player, Strong work ethic with a sense of urgency
Conscientiousness/ Integrity.
Efficient, proactive, self starter
