Job Description:

Director related responsibilities:

To perform all secretarial duties including typing, presentations, filing, minutes and notifications
To provide a service in line with Directors work habits and preferences thereby catering for all Directors work-related requirements
To arrange and co-ordinate tea/coffees/lunches for Directors and visitors
Screening phone calls, enquiries, requests and handling them in an appropriate and efficient manner
Meeting and greeting visitors at all levels of seniority in the business
Planning, organising and managing Directors events and functions
Managing and reviewing filing and office systems

Administrative and Adhoc responsibilities:

Arranging travel, visas, insurance, forex and accommodation for all staff members
Adhoc work within Finance and other departments
Responsible for the arrangement of Company stationery
Company copier/printer machines
Arranging courier services - documents
Admin office house keeping
Compile and assist with reporting requirements

Qualifications:

Experience: At least 5 years Personal Assistant experience
Qualifications – minimum: Grade 12
Qualifications – ideal: Diploma in Office Administration or related field
Strong administration / financial experience including sound numerical abilities
Experience of working with a broad cross-section of people in terms of varied levels of seniority and cultural backgrounds, across multiple countries and time-zones
Strong computer skills with solid working knowledge of Microsoft Office Suite
