Planning and Purchasing Manager

An award winning exporter and manufacturing concern, based in the northern suburbs of Cape Town, bordering the winelands, has a vacancy on their team for a Planning and Purchasing Manager. They are a global organisation with a prominent footprint in South Africa. They have also grown substantially year on year, hence the reason for this vacancy.

Planning Function:

• Receive bottling instructions from Customer Service Managers and Clients (3rd Party) and schedule Work Orders to meet requirements
• Creating Work Orders stating accurate quantity, type, and completion date of units to be produced
• Ensure the Work Order is the latest and correct Specification (NPD)
• In the case of working away old stock/amended BOM's - Ensure the Work Order is amended accordingly
• Send weekly production schedule to ACCOLADE - and update SAGE with the returned comments accordingly
• 3rd Party Bottlers: Complete and send Bottling Request + Specification (PBM, QBS, Etc.)
• Liaises with Production Manager - Bottling and production team to determine progress of Work Orders
• Optimises stock levels and bottling line capacities by interacting with relevant stakeholders
• Monthly Stock Evaluation in order to assist Warehouse Manager with Plan of Action wrt non-moving stock
• Performs the relevant administration, verification and reporting functions

Procurement Function:

• Conducts supplier selections and performance monitoring procedures and ensures adherence to the Supplier Food Safety and Quality Assurance requirements
• Performs annual supplier price negotiations
• Monitor and calculate supplier's annual rebate agreements and price structures
• Assists in the budget compiling and forecasting requirements/procurement needs
• Complete Annual Performance Ratings with suppliers ensuring continuous performance monitoring
• Establishes and maintains a working Supply Level Agreement(SLA) for all suppliers
• Assists with supplier audits when required
• Maintains discipline and ensures adherence to company policy in regard to timekeeping, work performance and behaviour, quality standards, deadlines and proper procedures
• Adheres to QMS standards and procedures ensuring internal audits are conducted in compliance with the IFS and TESCO standards and organic standards and procedures are adhered

Purchasing Function:

• Manages purchasing of raw materials for production utilization
• Create purchase orders within 24 hours of scheduled productions, according to SAGE requirements and send copies to suppliers.
• Weekly compile and send a PO Listing to relevant supplier in order to get confirmation on delivery date, quantity and price
• Determine if inventory quantities are sufficient for needs, ordering more materials when necessary
• Respond to customer and supplier inquiries about order status, changes, or cancellations
• Daily follow up on Dry Good deliveries and follow up with suppliers where stock is still outstanding
• Contact suppliers in order to confirm deliveries and to resolve shortages, missed or late deliveries, and other problems
• Provide production team with regular feedback of orders status
• Monitors in-house inventory movements on system
• Prepare, maintain and review SAGE inventory system (scheduled runs vs purchase orders), quality insurance certificates, reports and price lists
• Assist Sales/CSM and Finance with Price Queries & Alternative
• Ensures Purchase Orders are updated with the correct pricing
• Amends purchase orders to account for stock at supplier timeously
• Monitors and controls stock levels to ensure stockholding in stores is kept at minimum stock levels
• Assists in stock taking reconciliations on a monthly basis according to the stock taking procedures
• Monitors stock holding of dry goods at suppliers and maintain stock reports
• Records returnable movements accurately
• Once a week assist in stock count of Glass, Returnables and Consumables in order to determine material requirements

People Management:

• Provides employees with guidance in handling difficult or complex problems and in resolving escalated complaints or disputes.
• Conducts performance appraisals and reviews and recruits staff when necessary
• Identifies training needs and contributes to the development of individuals
