Purpose / Scope:

Reporting to the Managing Director, the purpose of this role is to ensure that the overall purchasing/merchandising function meets the needs of the business to ensure maximum profitability. Responsible for ensuring that Weylandts stock is ordered, shipped and landed efficiently and cost effectively and that furniture & Homeware stock levels are analyzed and replenished on an ongoing basis. The total current import spend is approximately R70 million annually using roughly 300 containers and local is R30 million rand although this is expected to grow as the company expands locally and internationally.
This position is also responsible for managing the smooth and professional running of the Purchasing team including supplier terms, administrative procedures and queries and keeping a detailed control sheet of spend versus budget of all stock orders.

Main Accountabilities/ Objectives:

Retail
• Managing the Purchasing Department staff to high levels of performance, ensuring that orders are placed, shipped and landed efficiently and timeously. Direct reports include Buyers, Purchasing Coordinators, Shipping Coordinator and a Merchandise Planner.
• This includes inspiring, motivating and leading the team on an on-going basis. Being sensitive but effective in the management of performance related issues, handling disciplinary matters effectively. Developing and training all employees to ensure high levels of knowledge, including product knowledge, systems, processes and policies
• Reviewing processes and procedures to ensure that the department operates efficiently, establishing best practice ways of working and getting team & Snr management buy in to proposed solutions.
• Liaise with Suppliers and Freight forwarders regarding orders, follow up shipment date etc. Ensuring that Purchase orders are processed and updated and actual cost processed accurately on Syspro when stock arrives.
• Management of the Merchandise planner to ensure that stock is monitored and sales and stock levels of all furniture & Homeware analysed on a monthly basis to determine stock replenishment required, bearing in mind seasonal trends, promotions etc.
• Determining and resolving all Purchasing Department supplier terms, administrative procedures, queries and issues as well as importation compliance with SA Customs to ensure accreditation status maintained.
• Managing and updating detailed control sheet of spend versus budget per month of Purchasing Department (all stock orders,) for CEO/Director and Finance Manager.
• Monitoring customer claims for product issues and improvements to ensure high level of quality maintained, credits from supplier and Liaising with Customer Services and Training Departments regarding product information and issues as well as staff training issues identified.
• Ensuring that all necessary import documentation filed and ready for auditing and that all packaging/ labels are correctly specified and that correct information (dimensions etc) is passed to Marketing for uploading to website.


Competencies / Skills Required:

Degree/ Diploma in relevant field. Excellent knowledge of MS Office & Purchasing systems experience (we use Syspro)

FUNCTIONAL EXPERIENCE: Minimum 8 years Purchasing / Orders management experience in senior role ideally in Décor/ Fashion retailer, including sales analysis and importation. Import experience essential. This is an analytical role which requires great attention to detail and excellent coordination skills. Change management experience required.
