PROCUREMENT STORES SUPERVISOR
Job Purpose:
Liaise with key staff members at all the organisation's centres to procure good quality and cost-efficient supplies and services for the organisation. Maintain an accurate and updated inventory of purchases, goods received and dispatched to centres
Key Responsibilities
Liaise with all the Organisation's centres (protective workshops, day care centres, group homes, admin department, bakeries, bric-a-brac shops and transport department) to procure good quality and cost effective supplies and services
1. Procurement of goods and services
a. Ensure that new suppliers are sourced, and current suppliers are reviewed and analysed on a regular basis to maintain competitive prices
b. Create and maintain a database of all suppliers with terms and conditions, delivery times, prices etc.
c. Maintain and foster strong, trusting and professional relationships with suppliers
d. Always negotiate the best deals for pricing and supplies
e. Before placing an order, check purchase orders for accuracy, completeness and clarity
f. Verify deliveries according to order and invoice
g. Ensure that all goods are stored securely and in line with health and safety guidelines
h. All supplier invoices, along with purchase orders and other required documents, must be submitted to the Finance department for processing and payment.
i. The Procurement Stores Supervisor may not make or process any transaction involving cash payments.

2. Administration
a. Create and maintain a database of all supplies, equipment and services with updated prices, product descriptions and purchasing records
b. Create and maintain an accurate and up-to-date inventory of all incoming and current stock to monitor inventory levels and prevent shortages of stock
c. All purchases must be authorised by departmental managers before orders are placed with suppliers
d. Generate Oasis purchase orders and send copies to suppliers and to the departments originating the requests
e. Resolve all delivery discrepancies and shortages expediently
f. Calculate cost of orders, and charge invoices to appropriate accounts and departments
g. Contract Management – administer contract processes including terms and conditions and management of expiry/termination dates
h. Monitor in-house inventory movements and complete inventory transfer forms for bookkeeping purposes

3. Other
a. Any other procurement or buying requirements as requested by Management
b. Perform any other reasonable task as and when requested by Management

4. Qualifications
a. Matric
b. IT skills – Microsoft Office Suite proficiency (Word, PowerPoint, Outlook and Excel)
c. Certificate in procurement and supply operations (CIPS) an advantage
d. Two years previous experience as a procurement stores supervisor
