Project Administrator: Group Finance/Cape Town

Immediate Start: Fixed Term Contract until 31/12/2020

• Provide key support for functional groups
• Performance of a wide variety of specialised clerical functions involving compiling and arranging data, making computations, laying out and preparing reports, processing and coding documents and maintaining specialised and comprehensive records and filing.
• Set up and prepares statistical reports.
• Resolve discrepancies and may communicate with a variety of administrative and professional employees within and outside the company.
• Provide overall project and general administration support to the Programme managers, Project managers and Project team members.
• Attend to all day to day office and resource needs including printing, scanning and ordering of stationery.
• Scheduling project meetings, arranging meeting room facilities and diary management.
• Arrange telecom/video conferences/WebEx testing for team members.
• Arrange access cards for visitors and new resources.
• Host and collect visitors from the main reception.
• Onboarding new resources and log SRS’s to arrange for network access
• Onboarding new resources to the programme tools
• Arrange and request for new members’ JIRA licence and access
• Assist in JIRA project administration – coordinate JIRA issues and tasks within the project team and ensure that the use of JIRA is being used effectively across all the programme work streams.
• Assist the team with all JIRA related queries
• Grant SharePoint access to all project stakeholders
• Help facilitate the use of SharePoint and JIRA to all the team members and assist with queries and issues that may follow.
• Circulate and distribute project documentation to all the programme stakeholders, which includes executive members, business owners and business sponsors.
• Maintenance of stakeholder list
• Assist Project Managers with the project monthly budgets, team member timesheets and invoicing
• Manage vendor and supplier contracts

Qualification, Experience and Skills

• Grade 12 qualification
• Diploma in Project Administration/Management or similar will be to your advantage
• At least 3 years’ experience in project administration
• Processing transactions and conduct simple calculations
• Record keeping; filing and maintenance of databases
• Maintain work standards and quality verification
• Data collection and processing of transactions
• Procedures knowledge
